Deleting Location Codes
The Difficulty with Deleting Location Codes
Deleting location codes poses a special problem because these codes are used in so many areas of the system. Generally, you should not delete location codes if they have been active recently. In addition, some potential problems are impossible to check for, such as the presence of an obsolete location code in the SAVE ITEM field of an item record on reserve or the presence of an obsolete location code in the pickup location of an existing hold.
To delete location codes to your list of library locations, follow the steps below:
- Perform and/or request the following deletions:
- Updates that Innovative must perform
- Updates that you can perform with Advanced System Access & Administration
- Updates that authorized staff at your library can perform
- Delete the location code from all records at your library:
- Create Boolean searches (location=<code>) for bibliographic, order, checkin, item, patron, resource, course, program, and section records that contain the location code to be deleted.
- Delete the location code from any records listed in the search results.
- If your library uses the Link Maintenance feature, use it to ensure that bibliographic and program records (if applicable), and any attached records, have been correctly updated.
- Delete the location code from all saved searches and queries:
- Review saved searches. If any of the saved searches contain the location code to be deleted, delete the saved search.
- Look through the list of saved queries in Statistics. If a query contains the location code to be deleted, modify or delete the query.
- Delete the location code from the Branches table.
Updates Performed by or in Conjunction with Innovative
Contact Innovative to request the following deletions:
- Alternate Location Name Mapping Table
- If your library uses an alternate Location Name Mapping table for link maintenance, delete the location code(s) from your library's alternate mapping table.
- Interlibrary Loan (ILL)
- If your library has acquired Interlibrary Loan, delete the location code from ILL.
- INN-Reach Agency Model
- If your library has acquired INN-Reach and if your Local Server operates under the INN-Reach Agency Model, modify the agency settings related to the location code to be deleted.
- Multiple Accounting Units
- If your library has acquired Multiple Accounting Units and the location to be deleted is an accounting unit, delete the accounting unit.
- Multiple Serials Units
- If your library has acquired Multiple Serials Units, delete the serials unit.
- Options Groups
- If your library uses location-based options groups, remove the options group for a deleted branch or department after removing the options group from all logins assigned to it.
- Patron Partitioning
- If your library is deleting a Locations Served entry, delete the location code from Patron Partitioning settings.
- Scoping
- If your library has acquired Scoping, delete any location-based scope rules that use the location to be deleted.
- Send Items Home
- If the Send Items Home feature is enabled for the location code to be deleted, deactivate the feature for that location.
Updates Performed Either Using ASAA or by Innovative
Use Advanced System Access & Administration to perform the steps below.
- Automatic Patron Request Processing
- If your library uses automatic patron request processing and the location code to be deleted is on the list of locations that cannot be requested in the WebPAC, update the request rule file, or ask Innovative to update it for you.
- Holding Symbols
- If your library uses a Holding Symbols file, update the Holding Symbols file, or ask Innovative to update it for you.
- Self Booking
- If your library enables patrons to book items using the WebPAC, update the Rules for Self-Booking file, or ask Innovative to update it for you.
Updates Performed by Authorized Library Staff
Delete the location code from the following products and features used at your library by completing the associated steps:
- Circulation Parameters
- Delete the location code from all Circulation Parameters tables used at your library that include a Location data element. The Circulation Parameters tables containing a Location element include, but are not limited to, the following:
- Default Record Templates
- Delete the location code from any default record templates set up at your library.
- Locations Served
- Delete the location code from the Locations Served table.
- Location Mapping Table
- Delete the location code and any associated item, order, checkin, and section record location codes from the Location Mapping table used at your library. See EXAMINE location mapping table.
- If your library uses an alternate Location Name Mapping table for link maintenance, contact Innovative to delete the location code(s) from your library's alternate mapping table.
- Item Types & Locs Circulation Option
- If your library uses any of the Item types & locs for category A, B, C, & D circulation options, delete the location code from the circulation option categories in which it appears.
- Location Name Mapping Table
- If your library uses the standard Location Mapping table, delete locations from the location mapping table.
- LOC Web Option
- Delete the locations from the LOC_[Location Code] web option.
- Multiple Accounting Units
- If your library has acquired Multiple Accounting Units and the location to be deleted is an accounting unit, re-assign any logins currently associated with the deleted location to a different accounting unit.
- Multiple Serials Units
- If your library has acquired Multiple Serials Units, re-assign any logins currently associated with the deleted locationto a different serials unit.
- Preferred Location
- Delete the location code from staff members' Preferred Locations (used with Selection Lists).
- Scoping
- If your library has acquired Scoping:
- Edit scope rules as necessary.
- Set scopes for logins as desired.
- Telephone notification
- If your library has acquired either i-tiva or Teleforms and has also acquired additional message profiles for hold pickup calls, delete the location code from the TNS Location Map file.
- Limiting WebPAC Searches by Location
- If your library enables patrons to limit WebPAC searches by location, update the "Public" element of the Branches Table to update the list offered to patrons when they choose to limit a search by location.
