Adding Location Codes
To add location codes to your list of library locations, follow the steps below:
- Create all the new location codes (e.g., shelf assignments) for the new branch location in the Branches table.
Note that you must add a branch address for every new ILL department location so that reply mail can be addressed to the correct department.
- Perform and/or request the following updates:
- Updates that Innovative must perform
- Updates that you can perform if your library has acquired ASAA
- Updates that authorized staff at your library can perform
Do not continue to the next step unless you have completed the steps above. You must make all relevant system updates before you add the new codes to any records.
- Add codes to records. Make sure all item, checkin, order, and bibliographic records for the new location have the appropriate location codes. Make sure course records and patron records have the new location codes, if applicable.
- Update any remaining functionality.
- Restart the Web server.
Updates Performed by or in Conjunction with Innovative
Contact Innovative to request the following updates:
- Alternate Location Name Mapping Table
- Add new locations to your library's alternate location mapping table. If your library uses the standard Location Mapping table, see EXAMINE location mapping table.
- Scoping
- If your library has acquired Scoping:
- Add one or more new (location-based) scope rules, or add the new location(s) to an existing (location-based) scope rule.
- Edit scope rules as necessary.
- Set scopes for logins as desired.
- ILL with Multiple ILL Departments
- If your library has acquired Interlibrary Loan and has set up multiple ILL departments, add the new location code(s) to ILL.
- Multiple Accounting Units
- If your library has acquired Multiple Accounting Units:
- If the new location is to be a new accounting unit, set up the new accounting unit.
- Assign logins for the new location to the appropriate accounting unit.
- Multiple Serials Units
- If your library has acquired Multiple Serials Units:
- If the new location is to be a new serials unit, set up the new serials unit.
- Assign logins for the new location to the appropriate serials unit.
- INN-Reach Agency Model
- If your library has acquired INN-Reach and if your Local Server operates under the INN-Reach Agency Model, map the new location code(s) to the correct agency.
- New Options Group
- If your library uses options groups, assign a new options group for the new location.
Updates Performed Either Using ASAA or by Innovative
If your library has acquired Advanced System Access & Administration, perform the steps below.
If your library has not acquired ASAA, ask Innovative to perform the steps below.
- Holding Symbols
- Update the Holding Symbol file, or ask Innovative to add new locations or update existing locations in the Holding Symbols file.
New Holding Symbols
If you need new holding symbols in order to input a new bibliographic record location code during record loading, contact the supplier of your bibliographic utility.
- Automatic Patron Request Processing
- If your library uses automatic patron request processing and any of the new location code(s) cannot be requested in the WebPAC, update the Rules for Requesting file,or ask Innovative to update it for you.
- Self Booking
- If your library enables patrons to book items using the WebPAC, update the Rules for Self Booking file, or ask Innovative to update it for you.
Updates Performed by Authorized Library Staff
Authorized staff at your library must perform the following updates:
- Circulation Parameters
- Add the new location code(s) to all Circulation Parameters tables used at your library that include a Location data element. The Circulation Parameters tables containing a Location element include, but are not limited to, the following:
- Locations Served
- Add the new location code(s) to the Locations Served table.
- Location Mapping Table
- Add the new bibliographic and/or program record location codes and their associated item, order, checkin, and section record location codes to the Location Mapping table used at your library. See EXAMINE location mapping table.
- If your library uses an alternate Location Name Mapping table for link maintenance, contact Innovative to add new locations to your library's alternate mapping table.
- Default Record Templates
- Add the new location code(s) to any default record templates set up at your library.
- Preferred Locations
- Add the new location code(s) to staff members' Preferred Locations (for use with Selection Lists in Acquisitions).
- Telephone notification
- If your library has acquired either i-tiva or Teleforms and has also acquired additional message profiles for hold pickup calls, add or update the location codes in the TNS Location Map file.
- Item Types & Locs Circulation Option
- If your library uses any of the Item types & locs for category A, B, C, & D circulation options, add the new location code(s) to the appropriate circulation option category.
- Limiting WebPAC Searches by Location
- If your library enables patrons to limit WebPAC searches by location, update the "Public" element of the Branches Table to update the list offered to patrons when they choose to limit a search by location.
Update Remaining Functionality
After you have added the new location code(s) to records, update the following remaining functionality:
- Statistics Group
- If the new location includes one or more new bibliographic-level location codes, associate the new bib-level location(s) with the appropriate statistics group.
- Logins and Login Groups
- Create the logins and login groups for the new location, using the location codes, options group, scope, and/or statistics group set up for the new location.
- Network Access Limits
- If you want to restrict access to and from your system at the new location, set up network access limits for the appropriate systems and IP addresses.
- LOC Web Option
- If you want to enable patrons to click on the new location name during a record search, set up the LOC Web option.
