Locations Served
The Locations SERVED option in Admin Corner allows you to edit the Locations Served table and its contents. This table contains named lists of location codes. Examples of list names are "Main" and "North Campus". The location codes in the list correspond to branch locations. These named lists of location codes are called "Locations Served" lists. Each list can contain a maximum of 1,000 location codes. A location code can appear in more than one list. This is a schematic example of a Locations Served table:
List Name | Location codes
Main | ref | nfc | per | art |
North Campus | ref | spe | ctr
South Campus | ref | eme |
By assigning the name of a Locations Served list to a terminal or login (i.e. statistics group), you can:
- associate the statistics group with any number of branch locations
- easily change the association of any number of statistics groups by editing the Locations Served list
You can maintain the:
- Locations Served table
This includes Locations Served list names, list types, adding lists to the table, and deleting lists from the table - Locations Served lists
This includes adding location codes to lists, deleting location codes from lists, and the order of location codes within each list.
Locations Served Table
When you choose the Locations SERVED option, the names of the Locations Served lists in the table display. For example:
LOCATIONS SERVED 1 > Main 2 > North Campus 3 > South Campus __________________________________________________________________ Key a number to modify or R > RETURN without saving changes A > ADD an entry Q > QUIT and save changes + > ADDITIONAL options Choose one (1-3,R,Q,A,D,U,+)
Default Locations Served List
When your system is installed, the table contains a default Locations Served list named "GROUP #1". You can delete this default list when you edit the table.
To avoid unexpected behavior, each Locations Served entry must have a unique name.
See Maintaining the Locations Served Table for more information on maintaining list names, list types, and the number of lists in the table.
A Locations Served list can be one of the following types:
- inclusive or "valid"
Only the location codes in the list are associated with the assigned statistics group. A statistics group associated with a valid list is considered to be "at" the locations in the list. That is, the list represents all the locations at which the statistics group is valid. - exclusive or "invalid"
All location codes except those in the list are associated with the assigned statistics group. A statistics group associated with an invalid list is considered to be "at" the locations not in the list. That is, the list represents all the locations at which the statistics group is invalid. The statistics group cannot be "at" any location in the list. Invalid lists are sometimes called "Locations Not Served" lists.
By associating statistics groups with locations through the Locations Served table, the system can:
- Return a circulating item to the proper library.
When an item is returned by a patron, the system compares the LOCATION field in the item record with the location codes associated with the:- workstation where the check-in took place
- login which performed the check-in
- deny check-in
- allow check-in
- set status to "IN TRANSIT" and check in
- set status to "IN TRANSIT"; do not check in
- Control the sequence in which multiple items for a title are listed in the Full record display.
If your library chooses, those items which are held at a statistics group's location will appear first in a multiple-item display. For example, if a patron searches the catalog through a terminal in the Science Library, holdings for that library can be displayed before holdings of other libraries.
If the Locations Served table entry is a list of "valid" locations for the terminal or login, items from these locations appear first. These items are sorted by location, in the order in which the locations appear in the Locations Served table entry. Items from other locations are then listed in the order in which they are attached to the bibliographic record.
If the Locations Served entry is a list of "invalid" locations for the terminal or login, items from locations that are not included in the entry are listed first, in the order in which they are attached to the bibliographic record. Items from the locations included in the list of "invalid" locations are then listed, sorted by location in the order that the locations appear in the Locations Served entry. - Determine whether a location's circulation notices can be printed from a statistics group.
When you choose to print overdue notices or paging slips, for example, one of your options is to print notices only for the locations which are associated with your terminal or login (i.e. statistics group) through the Locations Served table. - Determine the default pickup location when users place holds for circulating items.
If the user's terminal or login (i.e. statistics group) is associated with a valid list of locations in the Locations Served table, the system suggests the first location code in the list as the pickup location. Otherwise, the system suggests the item's location code. - Determine which locations are included (or excluded) from statistical and other reports produced by a statistics group. (Refer to the documentation for a specific report to determine if its results are limited by a login's Locations Served value.)
- Determine which records (based on the bibliographic record location) to use in calculating Web Reports such as Collection Development and Age of Collection.
Request Circles
Libraries that are using Request Circles in WebPAC must define a location served for each circle at the end of the Locations Served table.
Library Priority Table
If your library uses the Library Priority table, enter the first location code from each Locations Served list in the Library Priority table. The system matches the location codes in the Library Priority and Locations Served tables. If the tables do not match, the system can behave unpredictably. See the Library Priority table for more information.
Title Priority Paging
If your library uses the Title Priority Paging feature, and your Locations Served table has location codes repeated in multiple entries, you must verify that the Locations Served entry that you want to receive pages is higher in the table than other entries containing the same location code(s). If it is not, contact Innovative to rearrange your Locations Served entries.
Regional Holds
To avoid errors in the assignment of pickup locations, Innovative recommends that libraries using the Regional Holds product allow each location code to appear in only one Locations Served list. Alternatively, move lists not intended for use by the Regional Holds product to the bottom of Locations Served table.
If your library uses the Regional Holds product, the system attempts to find a Locations Served list that contains the location codes for both the pickup location and the item location. The system uses the first matching list in the Locations Served table (reading from the top down). An error can occur in the assignment of pickup location if the first matching list contains the location codes for both the pickup location and the item location, but the list is not intended for use by the Regional Holds product.
Locations Served Lists
The Locations Served table contains Locations Served lists. Each Locations Served list contains location codes. To view the location codes in a list, enter a list's number as displayed in the Locations Served table menu. The location codes in the list display. For example:
North Campus -- Locations served 1 > art 2 > arch 3 > gsm 4 > url ___________________________________________________________________________ Key number to modify or R > RETURN without saving changes A > ADD an entry Q > QUIT and save changes + > ADDITIONAL options Choose one (1-4,R,Q,A,D,U,M,N,+)
