Editing Requests in ILL Files
To edit a request in an ILL file:
- Choose any of the following functions from the Function list:
Choose: If you want to edit: New Requests Requests in the new requests file Pending Requests Requests in the pending requests file Process Returns Requests in the returns file Filled Requests Requests in the filled requests file Cancelled Requests Requests in the cancelled requests file
Editing ILL Requests While Using the Enter Requests Function
When you attempt to edit a request while you are entering a new request, you access it via the requesting patron's record, rather than the ILL file where the request is currently stored. For more information, see the Editing a Patron's ILL Requests.
- Select a request by either double-clicking on the request or highlighting the request and selecting the View option from the right-mouse button menu. ILL opens the Edit Request window.
- Switch to the Request tab.
- Make your changes to the request. You can:
- Update the Status, Follow up, Return by, or Returned fields. To do so, choose the Update Status icon or choose Options | Update. Note that when you specify a date in the Returned field for a request located in the returns file, ILL moves that request to the filled requests file. This action is available when you edit a request in the pending requests, returns, or filled requests files.
- Delete a variable-length field by choosing the Delete Field button.
- Insert a variable-length field by choosing the Insert Field button.
- Undo the previous change to the request by choosing the Undo icon or choosing Edit | Undo. You can undo up to ten of the previous changes to the request you are working on. This action becomes available once you have modified the request. After you save the request, you cannot Undo your changes.
- Cancel up to ten of your last Undo actions. To do so, choose the Redo icon or choose Edit | Redo.
Uneditable Fields
You cannot edit every field in an ILL request. For information on which fields you can edit, see Edit ILL Request Display.
- Choose Save. ILL updates the related file and associated patron or item records. If your library has enabled the Update Patron Information in ILL Requests feature, the system can display additional prompts at this point.
- Continue as appropriate:
- Take additional action on the request as needed.
- View the next request in the file by choosing the Next icon or Go | Next.
- View the previous request in the file by choosing the Previous icon or Go | Previous.
- Close the window by choosing the Close icon or File | Close. If you have not already saved your changes, ILL asks you if you want to save changes to the request before closing it.
Additional Actions When Editing Requests in ILL Files
When editing a request, you can also:
- Acquire the request. This action is available if you are editing a request in the new requests file.
- Reacquire the request. This action is available when you are editing a request in the pending requests file.
- Cancel the request. This action is available if you are editing a request in either the New Requests or Pending Requests files.
- Search the local catalog for an item to fill the currently displayed request. To do so, choose Search | Local. This action is available when you are editing a request in the New Requests file.
- Search the remote system for an item that can fill the currently displayed request. This action is available when you are editing a request in the new requests file.
- Change the name of a supplier. This action is available if you are editing a request in the Process Returns and Filled Requests files.
- Send a message to the patron who placed the ILL request.
- Send a message to an institution that is supplying an item to satisfy the ILL request. This action is available when you are editing a request in the Pending Requests or returns file.
- Send a follow-up message to ARTEmail. This action is only available when you edit a request in the pending requests file.
- Receive an ILL item (that is, prepare an ILL item for pickup by the requesting patron). This action is only available when you edit a request in the pending requests file.
- Print the details of the currently displayed request.
