Notifying ILL Patrons

While reviewing an ILL request, you might need to send a message to the requester. For example, you might need more information about an item before you can process a request.

To send a patron a message about their ILL request:

  1. Choose New Requests or Pending Requests from the Function list.
  2. Select a request. ILL displays the Edit Request window.
  3. Choose the Notify icon or Options | Notify Patron. ILL prompts you to compose a message.
  4. Specify a message using one of the following methods:
    • To compose a message, enter the message in the text box.
    • If your library has set up a menu of predefined ILL messages, you can select a message from the Select ILL message drop-down menu. ILL displays the message you select in the text box, where you can edit it if necessary.
Format of ILL Messages

ILL automatically formats messages with information from the patron record and the request (consult ILL E-mail Messages for more information).

  1. Preview the whole message, including the patron and request information. To do so, choose the Preview icon. While previewing the message, you can:
    • Return to editing the message by choosing Preview again. Note that you cannot edit and preview a message at the same time.
    • Print the message by choosing Print.
    • Exit without sending the message by choosing Close.
  2. Choose Send to email the message to the patron. If an email printer is not associated with your login, or the patron record does not contain an email address, ILL prompts you to choose a printer and prints the notification instead.
