Retrieving Item, Order, and Checkin Records

To view item records in Acquisitions, Cataloging, and Circulation, you must be assigned permission 121 (View item records).

To view order records in Acquisitions or Cataloging, you must be assigned permission 131 (View order records).

To view checkin records in Acquisitions or Cataloging, you must be assigned permission 141 (View checkin records).

Retrieving Records Attached to Bibliographic Records

When you retrieve an item, order, or checkin record by retrieving the bibliographic record, the system automatically displays a record of the default record type (e.g., order, checkin, etc.) in the bibliographic information tabs. If the bibliographic record has more than one attached record of the default record type, the Summary tab displays a list of the records. To choose from the list of records of the default type, or to retrieve a record that is not the default type:

  1. Select the Summary tab, and choose the appropriate record type from the Record type drop-down list.
  2. Choose the record in the Summary tab.

    The system then displays the selected record in the Record tab.

Note that the Summary tab displays records that belong to all accounting/serials units, but you may only work with records that belong to the current accounting/serials unit.

Retrieving an Item Record from a Table

When you view a table displaying items (for example, a patron's current check-outs in the Checked-Out Items tab of Circulation), you can retrieve any one of those item records.

To retrieve items in a table:

  1. Select the table row that corresponds to the desired item record.
  2. Choose the View | Item option (or right-click and select the View this item option from the popup menu).

    If the item displays in a View Item tab, you must choose Edit to edit the item.

Retrieving an Item Record from a Checkin Card Box

To retrieve items from a checkin card box:

  1. Choose:

    Tools | Box Menu | Modify Boxes Individually
  2. Choose the item record button.

    Item record buttons in the Modifying Boxes Individually dialog show the item record number.
