Navigating in Tables
Lists of records, claims, holds, fines, etc. are often displayed in table format.
Depending on the type of table, you may be able to double-click on an entry to view additional data for entry. For example, clicking on the name of a record may open that record.
Selecting Table Rows
You can select only one row at a time, unless the table contains a column of check boxes. You can select rows in a table using either a mouse or a keyboard.
Selecting Table Rows With a Mouse
- To select a table, click on the table.
- To select a row in a table, click once on the row.
- To select adjacent rows, click and drag your mouse over the rows.
- To select multiple rows that are not adjacent, hold down the Ctrl key and select the items with your mouse.
- If the table has check boxes, select multiple rows by clicking directly on the check boxes. If you want to select every row in a table, click on the All column heading for the check boxes.
Selecting Table Rows With Keystrokes
- To select a table, press Tab until the table is active.
- To select a row in a table, use the arrow keys to highlight the desired row, and then press Enter.
- To select adjacent rows, hold down the Shift key and select the rows with the arrow keys.
- If the table rows are numbered, key a row number to select that row.
- To select all the rows in a table, key Ctrl+A.
Sorting Table Data
To sort a table by the data in a particular column, click on the heading of the column you want to sort by. Clicking once on the column heading sorts the table by the column's data in descending order. Clicking twice sorts the table by the column's data in ascending order. In some tables, a small up or down arrow appears next to the column indicating ascending or descending order.
If you are sorting the item, order, or checkin records attached to a bibliographic record, you can retain the new sort order by choosing Edit | Preserve Sort.
Viewing Truncated Data
To view the complete contents of a cell, pass the cursor over the cell. Note that Table Tooltips in the View menu must be enabled.
Copying Table Cells
To copy the contents of a cell, right-click in the cell. Choose the Copy option from the popup menu or press Ctrl+C. This copies the contents to the PC's clipboard. To paste the contents, right-click in the new location. Choose the Paste option from the popup menu or press Ctrl+V.
Resizing Columns
To resize a column, click on the edge of the column and move the mouse. The column will continue to expand or contract until you release the mouse button.
Toggling Columns
For some tables, columns can display more than one set of data. These columns have the toggle symbol.
For example, a single column can display between date for Requested, Title, and Requester data.
To toggle between the sets of data for a column:
- Place the cursor anywhere in the column.
- Click the right-mouse button. The right mouse menu is displayed.
- Place the cursor on the Toggle option. The column heading for an alternative set of data displays. For example, if the column heading is Title, the Author column heading displays.
- To view the alternative data set, click on its column heading (e.g., click on Author).
