ArticleReach Patron Notification Messages
ArticleReach generates an email notification message to a patron when the status of the patron's request changes. The system sends a different patron notification message for each of the following status changes:
Status Change | Reason |
---|---|
System Cancellation | The item is locally available, and the requesting patron is not enabled to request locally available items. |
System Cancellation | The system is unable to create a paging list (if your site automatically cancels unpageable requests). |
System Cancellation | No potential lender in the paging list has filled the request (if your site automatically cancels unfillable requests). |
System Cancellation | The request is not filled prior to the Not Needed After date (the date after which the patron indicates the request is no longer needed). |
Staff Cancellation | Library staff at the supplying site cancel the request. |
Staff Cancellation | Library staff at the requesting site cancel the request. |
Filled | Library staff check in the request with a Pickup, Delivery, Email, or Other delivery method. |
Filled | Library staff check in the request with a URL delivery method, or fill the request via the ArticleReach e-Delivery Integration. |
No Patron Notification for Requests Filled by Local Supply Method
The system does not send an email notification message to the patron when the supplying site processes a request with a Local supply method.
The system automatically sends a patron notification message when:
- The system or a staff member cancels a request.
- A staff member fills a request via ArticleReach e-Delivery Integration.
You can choose whether or not to send a patron notification message when checking in a request. You can also set a patron notification default for checking in requests via the ArticleReach tab.
An ArticleReach patron notification message is composed of email header fields, data fields, and fields that can be customized by your ArticleReach System for each type of patron notification message. ArticleReach patron notification messages are formatted as follows:

Data Fields in ArticleReach Patron Notification Messages
An ArticleReach patron notification message contains the following data fields:

Request Id | The unique number used by the system to identify each article request. |
Journal Title | The title of the serial in which the requested article was published. |
ISSN | The serial's ISSN. |
EISSN | The serial's EISSN. |
Article Title | The title of the requested article. |
Author | The author of the requested article. |
Year | The year in which the requested article was published. |
Month | The month in which the requested article was published. |
Day | The day on which the requested article was published. |
Quarter | The quarter in which the requested article was published. |
Season | The season in which the requested article was published. |
Volume | The volume in which the requested article is published. |
Issue | The issue in which the requested article is published. |
Number | The number of the issue in which the requested article is published. |
Pages | The starting page and ending page of the requested article. |
Comments | The text that the patron entered in the Note field in the ArticleReach Request Form. |
Not Needed After | The date after which the requesting patron no longer needs the article request. This field displays the date that the patron entered in the NNAfterDate field in the ArticleReach Request Form. |
Citation Source | The text that the patron entered in the sid field in the ArticleReach Request Form. |
The display of information in these fields is dependent on which fields the patron completes in the ArticleReach Request Form. If the patron did not enter information for a specific field, the field displays in the notification message, but with a blank value.
Cancellation notices include the following additional field:

Reason | The reason the request was cancelled. This field can contain the automatically-generated cancellation reason (for system-cancelled requests) or the manually-entered cancellation reason (for staff-cancelled requests). |
Customizable Fields in ArticleReach Patron Notification Messages
To customize ArticleReach patron notification messages, your ArticleReach System can specify the wording of the following fields:

Subject | Brief text that describes the purpose or content of the patron notification message. This text displays in the Subject field in the header of the email message. For example: "Your Article Request." |
Status Description | Text describing the change to request status that has caused the system to generate the notification. This text displays as the initial line in the body of message. For example: "Your article request has been cancelled" or "The article you requested is ready for pickup." If a request has been checked in with a URL delivery method or filled via ArticleReach e-Delivery Integration, the Status Description field contains an additional element, a delivery URL. The delivery URL can be one of the following:
The delivery URL is the final line of the Status Description field and displays as a clickable link. |
Suggested Action | Text describing a suggested action that the patron can take related to the request. This text displays as the final or second to final line in the body of the message. For example: "Please contact the Interlibrary Loan office if you have questions" or "Please see your online patron record for delivery details." This field can include an element specifying a number of days that an article is available for a patron to access. Typically, this value represents the number of days an article can be viewed by a patron at a delivery URL. For example, this value is 30 in the following text: "Your document will be available to you for 30 days." |
