Streamlining Checkin
In addition to streamlining checkin of items that belong to a different location (i.e., setting the Check-in: Check-in at wrong location circulation option to "ALLOWED" or "NOT ALLOWED"), you can further streamline the checkin process for the following:
- Items to be put in transit to another location. When you streamline this part of the checkin process, the system does not prompt you when you attempt to check in an item that belongs to another location and that must be set in transit—either to its owning location or to a hold pickup location. Instead, the system functions as specified by the associated circulation option setting. In addition, when you streamline the checkin process for items put in transit to another location, and you check in an item that belongs to your location and was placed in transit to its owning location (i.e., to your location), the system automatically clears the item status and removes the transit message and does not display the prompt confirming that the item status has been cleared.
- Items that are checked in at their owning location and are to be put in transit for hold pickup at another location. When you streamline the checkin process for owned items that have a hold with a pickup location that is not part of your Locations Served, and you check in an owned item that is to be picked up elsewhere, the system automatically assigns the item STATUS ('t' or '!') specified by the associated circulation option setting.
- Transit slip printing. When you streamline the checkin process for printing a transit slip, and you check in an item that is automatically put in transit to another location, a transit slip prints automatically.
Streamlining Checkin of Non-owned Items to Be Put In Transit
To streamline checkin of items that do not belong to your location and that need to be put in transit—either to the item's owning location or to a hold pickup location that is not in the list of Locations Served for the checkin location:
- Set the Check-in: Check-in at wrong location circulation option as follows:
Setting Functionality ALLOWED The system automatically checks in items that need to be put in transit to another location. NOT ALLOWED The system does not check in items that need to be put in transit to another location.
ASK Option Does Not Streamline Checkin
If you set the Check-in: Check-in at wrong location circulation option to "ASK", the system does not streamline the checkin process for items that need to be put in transit to another location. Instead, the system prompts you to choose from all options for the checkin of items that that need to be put in transit to another location.
In addition, the "ASK" setting does not streamline the checkin process for in-transit items being returned to and checked in at their owning location.
- Set the Check-in: Streamlined Check-in at wrong location circulation option to "YES".
Checking In Billed Items
When the Check-in: Streamlined Check-in at wrong location circulation option is set to "YES", the system does not require authorization to check in billed items regardless of the setting of the Check-in: Authorization Required to Check In Billed Items circulation option.
- To automatically print transit slips for items set in transit to another location, see Streamlining Transit Slip Printing.
When checkin of non-owned items that need to be put in transit to another location is streamlined, and an item is checked in that belongs to another location and is to be put in transit to its owning location or to another location to satisfy a hold, the system automatically:
- checks in the item or leaves the item checked out, as specified
- sets the item in transit
- prompts you to print a transit slip or, if enabled, automatically prints a transit slip
Checking In INN-Reach Items
The system does not change the STATUS of INN-Reach items to 't' or insert a transit message in the item record. For more information, see Checking In an Item that Satisfies an INN-Reach Hold.
If your library has enabled streamlined checkin and you check in an item belonging to your location that was put in transit to its owning location (i.e., to your library), the system automatically:
- checks in the item
- clears the item status
- removes the "transit" message from the item record
- suppresses the confirmation message
Streamlining Checkin of Owned Items with a Hold Pickup Location Elsewhere
To streamline checkin of items that are checked in at their owning location and that have holds to be picked up at locations that are not in the list of your Locations Served:
- Set the Check in hold at owning loc, pickup elsewhere circulation option to one of the following values:
If set to this value: The system automatically: PLACE ITEM IN TRANSIT - sets the item's STATUS to 't' (IN TRANSIT)
- prompts you to place the item in transit to satisfy a hold
PLACE ITEM ON HOLDSHELF - sets the item's STATUS to '!' (ON HOLDSHELF)
- prompts you to place the item on the holdshelf at the hold pickup location
ASK Option Does Not Streamline Checkin
If you set the Check in hold at owning loc, pickup elsewhere circulation option to "ASK", the system does not streamline the checkin process for owned items with hold pickup locations elsewhere. Instead, the system prompts you to set the item STATUS to 't' (IN TRANSIT) or '!' (ON HOLDSHELF). For more information, see Checking In an Item at its Owning Location for Hold Pickup Elsewhere.
- Set the Check-in: Check-in at wrong location circulation option to "ALLOWED".
NOT ALLOWED and ASK Options Do Not Streamline Checkin
If you set the Check-in: Check-in at wrong location circulation option to "NOT ALLOWED" or "ASK", the system does not streamline the checkin process for owned items with holds to be picked up elsewhere. Instead, the system functions as if the Check in hold at owning loc, pickup elsewhere circulation option is set to "ASK".
- To automatically print transit slips for items that are set in transit, see Streamlining Transit Slip Printing.
When checkin of owned items with pickup locations elsewhere is streamlined and you check in an item that belongs to your location and has a hold to be picked up at a different location, the system:
- automatically checks in the item
- if the item is automatically set in transit, the system:
- automatically sets the item STATUS to 't' (IN TRANSIT)
- automatically adds the transit message to the item record
- either:
- prompts you to set the item in transit to its pickup location and to print a transit slip
- if automatic transit slip printing is enabled, automatically prints a transit slip
- if the item is automatically placed on the holdshelf, the system:
- automatically sets the item STATUS to '!' (ON HOLDSHELF)
- prompts you to place the item on the holdshelf at its pickup location and to print a hold slip
Streamlining Transit Slip Printing
To automatically print transit slips for items for which you have streamlined various aspects of the checkin process:
- Ensure the Check-in: Check-in at wrong location circulation option is set to "ALLOWED" or "NOT ALLOWED" as desired for your library's checkin process.
- Set the Check-in: Streamlined Check-in at wrong location to "YES".
- Contact Innovative and request that automatic transit slip printing for streamlined checkin be enabled.
When transit slip printing is streamlined and an item is put in transit to satisfy a hold, the system automatically:
- checks in the item or leaves it checked out, as specified
- sets the item STATUS to 't' (IN TRANSIT)
- adds a transit message to the item record
- prints a transit slip
Modifying Some Circulation Options Disables Automatic Printing
If automatic transit slip printing is enabled at your library and you modify any of the circulation options related to streamlining, the system disables automatic printing.
The circulation options that affect automatic transit slip printing are:
- Check-in: Check-in at wrong location
- Check in hold at owning loc, pickup elsewhere
- Check-in: Streamlined Check-in at wrong location
To re-enable automatic transit slip printing, contact Innovative.
