Updating Coverage Data and Holdings Records Simultaneously from a File

You can update coverage data and holdings statements (LIB HAS fields) simultaneously by importing a text or XML file.

To update coverage data and the holdings statement simultaneously:

  1. Choose Coverage Load from the Function list. The Coverage Load screen appears.
  2. Select Catalog.
  3. Choose Range or Review from the drop-down list.

Range updates all records that contain the identifier and fall within the specified range of record numbers.

Review updates all records that contain the identifier and are listed in the specified review file.

  1. In the text box next to the Range/Review drop-down list, specify either a:
    • range of record numbers
    • review file
  2. Select Coverage.
  3. Select Active to create active coverage data resources.
  4. If any of the resources in the file already exist in your WebBridge database, enter the matchpoints for the update.

Choosing matchpoints allows existing resources to be updated and new resources to be loaded from the same file. If the file does not contain any updates to existing resources, matchpoints are not needed.

  1. Enter the full path and name of an update file. For example:

C:\Webbridge\updates\lexisupdate929.txt

or

C:\serials\ejournals\lexisupdate500.xml

You can also use the Browse button to search for the file. The file must reside on the computer or on a network accessible from the computer.

  1. In the Suppliers dialog, choose an identifier from the drop-down list or enter one in the text box. Choose OK.

Identifiers are limited to 12 characters. Only alphanumeric characters are allowed.

If the file contains a SUPPLIER element, the dialog does not appear. The identifier in the file's SUPPLIER element is used.

NOTE

When LIB HAS fields are updated, an identifier in the SUPPLIER element is required. For WebBridge coverage data updates, the SUPPLIER element is not required. When simultaneously updating LIB HAS fields and WebBridge coverage data, verify that the SUPPLIER element contains an identifier or that an identifier is entered in the dialog.

  1. In the Vendor and Database Info dialog, enter a Vendor ID in the text box. The Database ID is not required. Choose OK.

If the file contains PROVIDER or ServiceIdentifier elements, the dialog does not appear. The Vendor IDs in the file's PROVIDER or ServiceIdentifier elements are used.

NOTE

When LIB HAS fields are updated, the Vendor ID is used only to label the tab in the Coverage Load function. For WebBridge, the Vendor ID is part of the coverage data update and is loaded into the WebBridge database. When simultaneously updating LIB HAS fields and WebBridge coverage data, verify that the PROVIDER or ServiceIdentifier element contains a meaningful WebBridge Vendor ID or that a meaningful WebBridge Vendor ID is entered in the dialog.

  1. Choose Process to process the holdings updates in the file.

A results screen appears after processing. Lines from the file are grouped on tabs according to the contents of the PROVIDER element (or according to the Vendor ID entered in the dialog. The dialog does not appear if the file contains the PROVIDER element.)

The success or failure of updates is indicated in the Status column. See Loading Coverage Data for more information.

If records failed to update, the reason is displayed. The results table can be sorted on any column.
