Backdating Checked-in Items
When you check in an item, the system allows you to enter any date previous to today to be used as the checkin date for financial purposes. Backdating the checkin has the effect of reducing or eliminating fines for items that would otherwise be considered overdue.
Backdating an Item Checkin
To backdate a checkin:
- Choose Circulation Desk or Check-In (No Patron) from the Function list.
- Before checking in the item, choose the Backdate button. The Backdate dialog displays.
- The system updates the Check-In Date box.
- Begin checking in items.
When you have finished checking in the backdated items, switch to another function or to another Circulation Desk tab to clear that date.
How the System Records Backdated Checkins
Depending on how you are checking in items, the system populates the item record's LCHKIN field as follows:
Function Used for Checkin | Date and Time Recorded in Item Record |
---|---|
Check-In (No Patron) | Today's date and time of checkin (regardless of the backdated date you entered) |
Circulation Desk, Check In tab | The backdated date, 4 A.M. |
The backdated date appears in fine displays regardless of how you check in the backdated item(s). The Web Management Reports All Activity Circulation Report records all backdated checkins at 4 A.M. on today's date. Decision Center records all backdated checkins at 4 A.M. on the backdated date.
How Backdated Checkins Affect the CIRCACTIVE Date in Patron Records
Depending on how you are checking in items, the system populates the patron record's CIRCACTIVE field as follows:
Function Used for Checkin | Date and Time Recorded in the CIRCACTIVE Field |
---|---|
Check-In (No Patron) | Today's date and time of checkin (regardless of the backdated date you entered) |
Circulation Desk, Check In tab | The backdated date, 4 A.M. |
