Maintaining Mobile Collections

To use Mobile Collections, you must be assigned permission 367 (Mobile Collections Management). See Permissions Used by Sierra for more information.

If your library has acquired Mobile Collections, you can create groups of items to transfer among your library's branches by creating a collection. You can edit existing collections before they are mobilized or as they are being transferred among locations. Once a collection has completed its route, you can reuse or delete it.

Creating Mobile Collections

To create a new mobile collection, perform the following steps:

  1. Choose Mobile Collections from the Function list.
  2. Choose Tools | New or the New icon.
  3. Assign the collection a name and start date.
  4. Select an ending location setting for the collection.
  5. Select Remove MESSAGE information field from Items if you want the system to remove Collection ID notes from items during the final transfer.
  6. Define the collection's route and add items to the collection.
  7. To save the collection, choose Save. When you finish creating the collection, choose Close.

Editing Mobile Collections

Before a collection has been mobilized or while it is traveling along its route, you can edit the collection's settings. Note that you cannot edit a mobile collection that has returned to its final destination (that is, has a STATUS of "Route Complete"). To edit a mobile collection:

  1. View your library's mobile collections.
  2. Select the collection that you want to edit.
  3. Choose Tools | Edit or the Edit icon.
  4. Edit the collection's name, start date, ending location, and Remove MESSAGE information field from Items setting as desired. You can also define its route and add or remove items in the collection.
  5. To save the collection, choose Save. When you finish editing the collection, choose Close.

Reusing Mobile Collections

If you want to re-mobilize a collection that has completed its route, you can do so by reusing the collection. Note that you can reuse only those collections that have a STATUS of "Route Complete". To reuse a collection:

  1. View your library's mobile collections.
  2. Select the completed collection that you want to reuse.
  3. Choose Tools | Edit or the Edit icon.
  4. Choose the Reuse icon. The system reuses all of the data from the original collection except the collection ID and start date.
  5. Edit the collection's name, start date, ending location, and Remove MESSAGE information field from Items as desired. You can also define its route and add or remove items in the collection.
  6. To save the collection, choose Save. When you finish editing the collection, choose Close.

Deleting Mobile Collections

You can delete mobile collections that have completed or not yet begun their route (that is, collections with a STATUS of "Inactive" or "Route Complete"). To delete a mobile collection:

  1. View your library's mobile collections.
  2. Select the demobilized collection that you want to delete.
  3. Choose Tools | Delete or the Delete icon. The system prompts you to confirm the deletion:

    Are you sure you want to delete <name>?

  4. Choose OK or Cancel.

You can archive data about your library's completed mobile collections in a third-party application by exporting collection data before deleting it.
