Returning Items to the Deposit Collection

To return items to a deposit collection, you must be assigned permission 369 (Return to Deposit Collection). See Permissions Used by Sierra for more information.

When temporary items are due back at the Deposit Collection Library, you must use the Return to Deposit Collection function to check in the items. Innovative recommends that staff at the member library check in items using the Return to Deposit Collection function before physically returning items to the Deposit Collection Library.

To return a temporary item to the Deposit Collection:

  1. Use the Return to Deposit Collection function to check in the item at the member library.
  2. Check in the item at the Deposit Collection library.

Innovative recommends that staff at both libraries use the Return to Deposit Collection function to check in Deposit Collection items. When a temporary item is not returned, the system considers the item to be still checked out.

Returning an Item to the Deposit Collection: At the Member Library

To return a temporary item to the Deposit Collection, do the following:

  1. Choose Return to Deposit Collection from the Function list.
  2. (Optional) Backdate the checkin session.
  3. Retrieve the temporary item record. The system:
    • Checks whether the item has any special conditions and responds or alerts you accordingly.
    • Checks in the item from the member library.
    • Retrieves the original Deposit Collection item record (stored as <item record number>dbl<barcode> ).
    • Deletes the temporary item record. The temporary item is now considered a Deposit Collection item again.
    • Removes "<item record number>dbl" from the BARCODE field in the Deposit Collection item record. The BARCODE field in the Deposit Collection item record now displays only the item's original and permanent barcode.
    • Sets the item in transit to the Deposit Collection Library, if necessary.
  4. Return the item to the Deposit Collection Library.

When the Deposit Collection item is checked into the Deposit Collection Library, the checkin process and results are based on the following variables:

Using the Return to Deposit Collection Function at the Deposit Collection Library

Innovative recommends that staff at the Deposit Collection Library also use the Return to Deposit Collection function to complete item checkin and return. Doing so ensures that the Deposit Collection item is properly returned to the Deposit Collection.

Member Library Returned the Item

If the item has already been checked in by the member library using the Return to Deposit Collection function, the checkin process and results are the same regardless of the function used to check in the item. In this situation, the system:

  1. Sets the STATUS field to '-' (AVAILABLE).
  2. Sets the DUE DATE field to '0' (checked in).
  3. Removes the item from the member library's patron record.

The item is now properly returned to the Deposit Collection.

Member Library Did Not Return the Item; Deposit Collection Library Uses Return to Deposit Collection Function

If the item was not checked in by the member library using the Return to Deposit Collection function and the Deposit Collection Library is using the Return to Deposit Collection function, the system:

  1. Retrieves the original Deposit Collection item record (stored as <temporary item record number>dbl<barcode> ).
  2. Deletes the temporary item record.
  3. Removes "<temporary item record number>dbl" from the BARCODE field in the Deposit Collection item record. The BARCODE field in the Deposit Collection item record now displays only the item's original and permanent barcode.
  4. Sets the DUE DATE field to '0' (checked in).
  5. Removes the item from the member library's patron record.

The item is now properly returned to the Deposit Collection.

Member Library Did Not Return the Item; Deposit Collection Library Uses Another Checkin Function

If the Deposit Collection Library checks in the Deposit Collection item using any function other than Return to Deposit Collection, the system processes the item as a regular checkin. Therefore, if regular checkin is performed at both the member library and the Deposit Collection Library, the following situation occurs:

If this situation occurs, the item has not been properly returned to the Deposit Collection. To properly check in the item, check in the item using the Return to Deposit Collections function.
