Grouping Funds

To create a new group of funds, you must be assigned permission 85 (Fund file maintenance). See Permissions Used by Sierra for more information.

Sierra allows you to group funds or vendors. Groups are displayed on the left side of the screen in the Funds function as folders. Double-clicking folders displays the fund records within them. Fund groupings allow you to create hierarchies of funds for reporting purposes.

Creating a Group

To create a group (a folder within the Hierarchies folder):

  1. Choose Funds from the Function list.
  2. Choose the level under Hierarchies at which you want the group to be inserted. You cannot insert a group in a folder that already contains funds.
  3. Choose Create a New Group button on the toolbar.
  4. Enter a name for your group and choose OK. The name must be unique and cannot be blank. It can have a maximum of 80 characters. Special characters (for example, '#', '\', etc.) are not valid for use in the name field.

Adding Funds to a Group

After you create a group, you can add funds to it:

  1. Choose Funds from the Function list.
  2. Choose the group into which you want to put fund records. You cannot put funds in a folder that already contains other folders.
  3. Choose Put Fund Into Group from the toolbar. Sierra displays a dialog that allows you to add funds.
  4. Enter the fund code. If you enter an existing code, it is highlighted in the dialog. If you enter a partial code or a code that does not exist, the dialog highlights the nearest match.
  5. Choose Insert. As you put funds into the group, they are dynamically added to the folder. You cannot add funds to a folder if they already exist in that folder.

Removing Funds from a Group

You can remove funds from a group. Note that this does not delete the fund record from the system.

  1. Choose Funds from the Function list.
  2. Open the folder that contains the fund you want to remove.
  3. Choose the fund code to remove.
  4. Choose Tools | Delete. Sierra prompts you:

  1. Choose Yes to delete the fund from the group.

Deleting a Group

Deleting a group removes the folder and its contents. However, the funds that were in the group are still present in the Current Funds folder and on the system. To delete a group:

  1. Choose Funds from the Function list.
  2. Choose the group or groups to delete. You cannot delete the Current Funds, Hierarchies, Old Funds, or Old Hierarchies folders.
  3. Choose Tools | Delete. Sierra prompts you:

  1. Choose Yes to delete the folder.
