Suppressing Bibliographic Records During Order Cancellation
The Bibliographic Suppression upon Cancellation feature allows you to suppress a bibliographic record from public view in WebPAC when an order is cancelled. If this feature is enabled on your system, Sierra prompts you during the order cancellation process to suppress the bibliographic record. The system displays this prompt only when the order record you are cancelling is the only attached record, and you are using the following order cancellation methods:
- cancelling a specific order or searching for claimable orders
- cancelling orders upon notification
- manually changing the order record STATUS to 'z' (cancelled)
Sierra does not display a prompt to suppress the bibliographic record if:
- there are any other records attached to the bibliographic record, including other order records with a STATUS of 'z' (cancelled)
- the bibliographic record is already suppressed
Note that Sierra does not prompt you to unsuppress the bibliographic record if the status of the cancelled order is changed or a new order record is attached to the bibliographic record.
To suppress the bibliographic record using this feature:
- Cancel the order.
If the criteria listed above are met, Sierra prompts you to suppress the bibliographic record. Note that if you are cancelling the order by changing the STATUS field to 'z' (cancelled), the system does not display this prompt until you save the record.
- Choose Yes to suppress the bibliographic record.
- (Optional) Check the Bib-Level Holds tab for the existence of any holds after suppressing a bibliographic record, as Sierra displays the prompt to suppress the bibliographic record even if there are title-level holds on that record. You can use this tab to view, modify, or cancel holds during the order cancellation process.
