Checking In Items in Mobile Worklists

This functionality requires Sierra 4.2 or higher, and you must be assigned permission 1254 (Mobile Worklists Checkin). See Permissions Used by Sierra for more information.

You can check in an item in Mobile Worklists if you find an item in the stacks that is on a list of missing items, a list of items in transit too long, or a paging list of items that fulfill a hold request. When the item is checked in, Sierra updates the patron record and the item record. If the item is part of a floating collection, Sierra updates the item's location to the current location.

Checking in an item does not automatically remove it from a list unless you have specified this action on the Settings screen. You can select a check in option on the Settings screen to specify whether checked-in items are kept on the list or removed. If the default option, Ask me each time, is selected, a message appears each time you check in an item.

Mobile Worklists provides the following options for checking in an item:

Checking In an Item from the Item Details Screen

To check in an item from the Item Details screen:

  1. Tap .
  2. Tap Check In Item. The "Checked in!" message appears unless there are conditions encountered during checkin.
If the default, Ask me each time, is selected in Settings | Check in Options, the "Remove Checked In Item from List" message appears each time you check in an item.
  1. If the "Remove Checked In Item from List" message appears, do one of the following:
    • Tap Remove to remove the item from the list.
    • Tap Keep to keep the item on the list.

Depending on your selection, the item is removed from the list or kept on the list.

If this is the first time you have checked in an item in Mobile Worklists, the following message appears: "Select an action upon successful check in." When you select an action, the setting is updated in Settings | Check in Options.
  1. If the "Select an action upon successful check in" message appears, do one of the following actions:
    • Tap Always remove items from list - Selecting this option updates the Check in Options setting, and items are removed from lists each time you check them in.
    • Tap Ask me each time - Selecting this option results in a prompt to remove or keep items each time you check an item.
If you selected an action in the "Select an action upon successful check in" message box, the following message appears: "You can always change this option in Settings."
  1. If the message "You can always change this option in Settings" appears, tap OK to close the message box.

If there are no conditions encountered during checkin, and the item belongs at the location to which you are signed in to Mobile Worklists, the system updates the checked-in item's status to "Available" and updates the patron record.

Checking In an Item from the Items in List Screen

To check in an item from the Items in List screen:

  1. Do one of the following actions:
    • Swipe left on the item and tap Check-in.
    • Tap Edit to enable item selection, and do the following steps:
      1. Tap the circle next to the item to select it.
      2. Tap .
      3. Tap Check in 1 item.
  2. The "Checked in!" message appears unless there are conditions encountered during checkin.

If the default option Ask me each time is selected in Settings | Check in Options, the "Remove Checked In Item from List" message appears each time you check in an item.
  1. If the "Remove Checked In Item from List" message appears, do one of the following:
    • Tap Remove to remove the item from the list.
    • Tap Keep to keep the item on the list.

Depending on your selection, the item is removed from the list or kept on the list.

If this is the first time you have checked in an item in Mobile Worklists, the following message appears: "Select an action upon successful check in." When you select an action, the setting is updated in Settings | Check in Options.

If there are no conditions encountered during checkin, and the item belongs at the location to which you are signed in to Mobile Worklists, the system updates the checked-in item's status to "Available" and updates the patron record.

Checking In an Item from the Home Screen

Backdating items during checkin requires Sierra 5.4 and later. You must also be assigned permissions 1254 (Mobile Worklists Checkin) and 96 (Override Check-in Date). See Permissions Used by Sierra for more information.

To check in an item from the Home screen:

  1. From the Home screen, tap Check In Item. The Check In Item screen appears.
  2. (Optional) To backdate the checkin, slide the Backdate button to the right, select a date from the calendar, and tap OK. The date you select must be a past date. Mobile Worklists displays the date at the top of the screen.
  3. Do one of the following:
    • Scan the item's barcode. If your camera has a light, you can toggle it on and off by tapping the lightbulb icon. This feature can help you scan barcodes in dark conditions.
    • Scan the RFID tag by tapping RFID in the upper, right corner. When instructed, hold your device close to the item.
    • Tap the keyboard icon at the bottom of the screen, type the item's barcode, and tap Check In Item.

The item is checked in. If the item cannot be checked in, Mobile Worklists displays the message: "Unable to Check In. Use the ILS to check in this item." See Possible Conditions Encountered During Checkin for more information.

If your library uses a security system, you must resensitize the item using a separate device.

  1. If you have continuous scanning enabled, scan additional items. Mobile Worklists uses the same backdate setting, if applicable. You can change the date used for the checkin by tapping the date and selecting a new one or disable backdating by sliding the Backdate button to the left.
  2. Tap Done to exit the Check in Item screen.

Possible Conditions Encountered During Checkin

If the item you are checking in is overdue, belongs at another location, has an active hold request placed on it, or has another condition, the system produces the following messages and responses:
