Importing and Exporting Metadata

You can use MetaData Builder to import and export Dublin Core and Encoded Archival Description (EAD) metadata.

When you import an XML document containing metadata, the system uses an eXtensible Style Language Transformation (XSLT) document to create the base record as you save the data. The XSLT maps XML tags to the appropriate MARC and non-MARC fields in the base record. Innovative provides the XSLT document.

MetaData Builder exports metadata as a well-formed XML file. For more information on well-formed XML, and other XML specifications, see Extensible Markup Language (XML) 1.0 (Third Edition).

Importing Multiple Records from a Single File

To batch-load multiple records from a single Dublin Core XML file, you must use MetaData Builder.

Importing a Metadata Record

To import a metadata record:

  1. Choose Catalog from the Function list.
  2. Choose New on the toolbar to create a new bibliographic record.

Cataloging defaults to the record template selected with New Records settings administration. When set to "Prompt for Template", the system prompts you to select a template from a list. For information about creating and editing templates, see Managing Templates for New Records.

Preferred Templates

You can create a customized list of preferred templates with Record Templates settings administration. If you use this setting, the system offers only your specified templates in the list that appears when you create a new record.

  1. Click the row of the template you want to use, and then choose the Select button.
  2. Enter the appropriate information in the fixed-length fields, and then choose Go | MetaData.
  3. Choose the Import button, which appears just below the standard toolbar. The Choose input file dialog box opens.
  4. Specify the XML file to import and click Open. If your library supports both Dublin Core and EAD, the Choose Type dialog box appears.
  5. Choose the appropriate XML schema from the drop-down list, and then click OK. The metadata elements appear in the hierarchical tree in the left frame and the content of the chosen file populates the fields in the Edit tab.
  6. Use the labelled fields in the Edit tab to perform additional editing, if needed.

  1. After editing the metadata, click Save.

Exporting a Metadata Record

To export a metadata record:

  1. Choose Catalog from the Function list.
  2. Search for the bibliographic record attached to the metadata you want to export. If your search produces an exact match, the Bibliographic Record window opens. If your search matches multiple records, a browse list appears. Click (select) the record you want to export.
  3. Choose Go | MetaData.

    If a '0' follows the MetaData command text on the Go menu, the record has no attached metadata to export.

  4. Choose the Export button, which appears just below the standard toolbar. The Choose output file dialog box opens.
  5. Specify a name for the XML file to export and click Save. Be sure to note the location to which you saved the file.
