Transferring Files Using FTS
If your library has acquired the File Transfer Software (FTS) product, you can transfer files between your Innovative system and remote systems for which you have a valid username and password.
FTS adds menu options to the Tools menu in functions such as Data Exchange and Import Invoices. You must be in a function that uses FTS to access the FTS menu option from the Tools menu.

Getting Files
To get files from a remote source by using FTS:
- Select Tools | Get FTS or Tools | FTS. (The option that appears depends on the task you are completing.)
- Enter the IP address for the remote host or select a previously used value from the drop-down list, and click Connect.
- In the Login dialog box, enter the Username and Password.
Default Login and Password
The system displays a default login and password if you enter a vendor code during the electronic invoicing process. The associated vendor record must contain an FTP INFO field for this data to display. You can use the default information or change it as necessary.
- Click OK. When you are connected, the file path for the remote source, if there is one, appears above the Remote list of files.
- To change the data format of the file(s), choose one of the following formats from the Transfer type drop-down list.
- Binary—Binary is the suggested format for non-text data such as MARC files.
- ASCII—ASCII is sometimes used for text data, such as "printed-to-disk" files.
- EBCDIC—EBCDIC is an extension of the IBM BCDIC (Binary Coded Decimal Interchange Code), and is not commonly used.
- To change the name of the file(s) you are transferring, select Rename files upon transfer.
- Select the file(s) to transfer by doing one of the following:
- Enter the file name in the Remote Filename field, and click Remote Filename.
- Select a file name in the Remote list of files, and click Get. You can select multiple files in the list by using the Shift and Ctrl keys.
When you click Get or Remote Filename, the system displays a Transfer progress window and then displays the file(s) in the Local system list.
Retrieving EDIFACT Order Response Files
If you are retrieving EDIFACT order response files from the Status Reports function in Acquisitions, the FTP dialog does not have a Local list of files. Once you click Get, the system automatically populates the Preview tab with the order response information.
- If you chose the Rename files upon transfer option, the system displays a Rename dialog box, allowing you to change the file name. The Rename dialog box automatically inserts the appropriate file extension if you are getting a file for import into the system.
Change the file name, and click OK.
If you did not choose the Rename files upon transfer option, the system automatically appends the appropriate file extension to the file, for example .catfts or .bfts.
- When you are finished transferring files, click Disconnect.
- Connect to another source or Close the window.
Putting Files
To put files to a remote source by using FTS:
- Select Tools | Put FTS or Tools | FTS. (The option that displays depends on the task you are completing.)
- Enter the IP address for the remote host or choose a previously used value from the drop-down list and click Connect.
- In the Login dialog box, enter the Username and Password and click OK.
When you are connected, the file path for the remote source, if there is one, shows above the Remote list of files.
OCLC Destination Directory
When transferring a file of MARC records to OCLC, you must specify the destination directory on the receiving machine. Enter the directory name in the text box below the Remote list of files. The directory name is:
'EDX.EBSB.<your OCLC institution symbol>.FTP'
Enter the directory name in all capital letters and include the single quote marks before and after the name. Press <ENTER> to change the directory. There might be no visible change in the display.

- To change the data format of the file(s), choose one of the following formats from the Transfer type drop-down list.

- If you want to change the name of the file(s) you are transferring, check Rename files upon transfer.
You must select (check) this option when sending DATA and LABEL files to OCLC.
- Select a file name in the Local list of files, and click Put.
You can select multiple files in the list by using the Shift and Ctrl keys.
When you click Put, the system displays a Transfer progress window and then displays the files in the Remote system list.
- If you chose the Rename files upon transfer option, the system displays a Rename dialog box, allowing you to change the file name.
Change the file name, and click OK.
OCLC DATA and LABEL File Names
You must remove the .out extension from the DATA file name and the .txt extension from the LABEL file name before transferring these files to OCLC. For example:
Rename DATA.D060416.out to DATA.D060416
Rename LABEL.D060416.txt to LABEL.D060416
- When you are finished transferring files, click Disconnect.
- Connect to another source, or Close the window.
Using Secure File Transfer
If the Default for Secure FTP checkbox option is set to "On" or "Off", you can choose between the standard file transfer protocol and secure file transfer.
To choose secure file transfer, check the Secure Transfer check box.
To choose standard file transfer, clear the Secure Transfer check box.
If the Default for Secure FTP checkbox option is set to "Always On", you cannot choose between the standard file transfer protocol and secure file transfer. The check box is checked and grayed out. All file transfers are secure when the option is set to "Always On".
NOTE
Some applications use the Secure check box. The Secure and Secure Transfer check box function identically. The Default for Secure FTP checkbox option sets the default for both.
Deleting Hosts
To delete an FTP host from the Host drop-down list:
- Select File | Delete Host(s). The Delete Hosts window opens.
- Select the host(s) to delete.
- Click Delete to remove the selected host(s) from the Host drop-down list, or click Cancel to close the Delete Hosts window.
