Copying a Review File

When you copy a review file, you must copy to an empty review file or overwrite another review file. You can overwrite both owned and unowned review files. If your library uses the ownership function and the file you want to overwrite is owned, you must be the file's owner (as indicated in the Login column) or be assigned permission 186 (List Administrator). See Permissions Used by Sierra for more information.

To copy an existing review file, including system-generated review files:

  1. Choose Create Lists from the Function list.
  2. Choose the review file to which you want to copy an existing review file by selecting its row. The new review file overwrites the file you select.
  3. Choose Copy from the toolbar. The system displays a list of existing review files. The list is ordered by review file number with the system-generated review files located at the end of the list.
File Ownership

If the file you choose is owned, that is, a login name appears in the Login column, and you are neither the owner nor have List Administrator permission, the system does not allow you to overwrite the file.

  1. Choose one of the review files in the Select File to Copy From dialog box, and then choose OK. The system copies the record numbers from that file to the destination file you selected in step 2.
Removing a System-generated File

When you copy from some system-generated files, Create Lists asks Do you want to remove the file being copied from? If you answer "yes", the system copies the data to the destination review file and removes the current system-generated file. The next iteration of the system-generated file includes only new data. If you answer "no", Create Lists copies the data to the destination review file and the system-generated file retains its current data and accumulates additional data.

  1. The new file has the same owner as the file you copied. The new file also has the name of the copied file with today's date appended. You can rename the new file.
