Preprocessing Files for Import in Data Exchange

Before you load MARC records into the system, they must be converted into the blocked MARC record format. To preprocess a file of MARC records:

  1. In Data Exchange, choose the appropriate loading process from the Select Process drop-down list, for example Load Bibliographic Records.
  2. Choose Prep. The preprocessing window displays the process and function, as well as the input and output file names.
  3. Choose Start. The system displays information related to the preprocessing in the Output Messages window, including the number of records input and output, and the number of errors, if any.
  4. (Optional) To print the contents of the preprocessing window, choose one of the following:
    • File | Print (<default printer>)
    • File | Select Printer and specify a printer.

  1. Choose Close when you are finished.

When the file is preprocessed, the system creates a new load file with a marc or pat extension, for example .marc, .catmarc, or .pat. You can view this file before loading it by choosing the file name in the Data Exchange file list, and then choosing View. See Viewing MARC Files.
