Receiving an ILL Item that Does Not Need to Be Returned

To receive an ILL item that does not need to be returned to its supplying institution:

  1. Choose Pending Requests from the Function list.
  2. Select the request. ILL displays the Edit Request window.
  3. Choose the Receive icon or Options | Receive Item. ILL prompts you to specify whether the item needs to be returned to the supplying institution.
  4. Choose the Non-returnable option.
  5. Select the Next button. ILL asks you whether you want to send a notice to the requester.
  6. Continue as appropriate:
    • To send a message:
      1. Choose Yes. ILL prompts you to compose the text of the message.
      2. Enter a message in one of the following ways:
        • By typing a message into the entry box.
        • By choosing a message from the Select ILL message drop-down menu, if your library has set up text for ILL notices.
    • To continue without sending a notice to the patron, choose No.
  7. Choose the Next button to continue. ILL asks you whether you want to print a mailing label.
  8. Continue as appropriate:
    • To print a mailing label, choose Yes.
    • To continue without printing a mailing label, choose No.
  9. Choose the Next button.
  10. Enter the following information as prompted:
    ISN
    The item's ISBN or ISSN.
    Cost
    Enter the charge (if any) for the item. ILL uses the item cost for statistical purposes only and does not add a charge to the patron's record.
  11. Choose the Finish button. The system continues as follows:
    • If you chose to print a mailing label, ILL prints a mailing label on your designated printer. If you have not designated a printer, ILL prompts you to select one and then prints the mailing label.
    • If you chose to send the requester a message, ILL prompts you to select a printer, regardless of whether you have already designated a printer. After you select a printer, ILL prints the message that you composed for the requester.
    • ILL transfers the request to the filled requests file. Note that the system does not add an entry for the item to the ILL holdshelf file.
    • ILL displays a confirmation message, indicating that the item has been succesfully received.
  12. Choose OK to return to the Edit Requests window.
  13. Mail the item to the requester or notify the requester that the item is available for pick up.
