Generating Collection Agency Reports

To generate Collection Agency Reports, you must be assigned permission 368 (Collection Agency). See Permissions Used by Sierra for more information.

To generate a Collection Agency Report:

  1. Choose Collection Agency from the Function list.
  2. In the Setting drop-down list, select the parameters for the report from the entries in the Collection Agency Settings table.
  3. Choose the type of report you want to generate:

The system does the following:

An empty report indicates that no changes have occurred since you last generated the report. It can be helpful to send an empty report to your collection agency to indicate this fact.

After generating the report, you can do the following:

Information in the Collection Agency Table

The Collection Agency table includes the elements described below. Unless otherwise noted, this information displays for both New Submissions Reports and Updated Patron Reports.

Patron #
The patron's record number.
Barcode
The patron's barcode number.
Name
The patron's name.
Amount Owed
The amount the patron owes your library.
Total Item Cost
Total cost of the item(s) for which the patron owes fines.
Date 1st Fine Assessed
The date that the first fine for which the patron was included in the Collection Agency Report was assessed.
Date Removed (Updated Patron Reports only)
Date on which the patron was removed from the Collection Agency Report.
Status
The patron's Collection Agency Report status:
new
The patron has been added to the Collection Agency Report.
updated
The amount that the patron owes the library has changed since you last prepared the Updated Patrons Report.
removed
The patron has been removed from the Collection Agency Report.
