Invalid Headings Reports

Authority Records

Your library must use authority records in your Innovative system to access this report.

The Invalid Headings report shows headings used in bibliographic records that match existing SEE FROM entries in authority records (MARC 4XX field). The entries are listed by index tag, where a (for author) comes before d (for subject) and t (for title), and headings are listed alphabetically within each index tag.

Entries from the t index are filtered by MARC type and field number. For UNIMARC records, only headings from fields 500 and 501 appear in the Invalid Headings report. For other MARC types, only headings from fields 130, 240, 730, and 830 appear in the report.

Report Contents

The Invalid Headings report provides the following information:

Column Heading Description
# Row number for report entry.
Type Type of headings report.
Entry The heading and information for an invalid entry. For example:

Field: d650 0|aVanity
Indexed as subject: vanity
Correct heading is: pride and vanity

Cat Date Date the record was cataloged.
Function System function through which the heading was entered, for example "mcat" for editing MARC records in Cataloging. For a description of the Function codes, see Function Codes.
Group If your library uses Statistics, this column displays the statistics group by which the heading was changed.
Login User login of the operator who made the change.
Entry Date     Date and time the heading was changed.

Reading the Invalid Headings Entries

The Entry column provides the following information:

Field MARC tag and indicators for the field, and subfield delimiters, codes, and heading from the record:

d650 0|aVanity

Indexed as subject Normalized version of the affected field as stored in the index, for example:

vanity

Correct heading is Valid form from the authority record, for example:

pride and vanity

From The bibliographic record number, and author and title of the work, for example:

Resolving Invalid Headings

To resolve an invalid heading:

  1. (Optional) You can view the record by selecting the heading entry in the report and choosing View.
  2. To view the reported heading in a browse list with surrounding headings, double-click the report entry. The system shows the invalid heading in the Invalid Text colors (specified in your Preferences), and highligts the suggested Correct Heading.
  3. To view the record that uses the invalid heading, or any other record in this list, select the record heading in the browse list and choose View.
  4. If your library has acquired the INN-View Authority feature, you can choose INN-View to search for an authority record heading that is more appropriate to replace the bibliographic record heading. For more information, see Verifying Headings Using INN-View Authority Validation.
  5. To replace the bibliographic record heading with another heading from the browse list, select the correct heading and choose Select. The Verify Field dialog box appears.
  6. Choose OK to replace the heading and save the record.
