Verifying Headings Using INN-View Authority Validation
If your library has acquired the ability to verify headings by using INN-View, the Innovative Library of Congress MARC Authority file, you can connect to the Innovative Authority record server over the Internet and download correct headings and/or new authority records. With INN-View you can:
- Save an INN-View authority record to the local database while browsing the INN-View Authority file, verifying a heading, or using Headings Reports.
- Update a heading in a bibliographic record.
- Search for an authority record in the INN-View Authority file from the Editor and:
- Import an authority record from the INN-View Authority file into the local database.
- Edit a new authority record before saving it in the local system, and save either the unedited or edited version of the record.
- Specify the type of saved authority record—Name, Subject, or Title.
- Overlay an existing authority record with a new record.
Verifying and Updating a Record Heading Using INN-View
When you use the Verify Heading option you can choose to search the INN-View Authority file for the relevant heading, and then use that heading to update the record.
- Retrieve the bibliographic record you want and choose to Edit the record.
- Select the variable-length field you want to verify by putting your cursor anywhere in the field and choosing Tools | Verify Heading. The Verify Heading browse window appears, displaying the selected record heading and surrounding headings from the index. The Your heading is: line shows the exact content of the heading to be verified.
- In the Verify Heading browse window, choose INN-View. A browse list of authority records from the INN-View Authority file appears.
- Select the relevant heading from the INN-View browse list and choose Select. The Verify Field dialog box appears, displaying the existing record heading, the new heading selected from the browse list, and the selected heading with your extended information added.
Using Extended Information
If you verify a heading that contains "extended information", the system offers a new heading combining the indexed heading with the extended information from your heading. Sierra considers the following subfields to be extended information:
- MARC 6XX fields - subfields 'v', 'x', 'y', or 'z', and any subsequent subfields
- MARC non-6XX fields - subfield 't' and any subsequent subfields
In the case of duplicate extended information subfields, the system replaces the indexed subfield with your subfield information.
- Choose an option button to Use the selected heading from INN-View or to Use the selected heading with YOUR extended information.
- Choose one of the following buttons:
- Update Heading to update the record heading only.
- Update Heading and Save to update the record heading and save the authority record to the local database.
- Save Only to save the authority record to the local database only.
- View to view the authority record.
- Cancel to make no changes and return to the INN-View browse.
- Author
- Subject
- Title
- Save and Close the record that contains the heading you verified.

Searching for a Heading in INN-View
When you search for a heading from the standard browse window in the INN-View Authority file, you have the option of saving the authority record to the local database. To search for a heading in the INN-View Authority file:
- In the Editor, choose INN-View.
- Enter the HEADING and choose Search.
The INN-View progress dialog box indicates the number of records being retrieved. When the INN-View browse list appears, the status bar indicates the total number of headings and entries retrieved.
- Highlight the appropriate heading in the browse list and choose Select. The authority record appears in the Editor.
- If it is appropriate, edit the fixed-length or variable-length fields. For more information about editing records, see Editing Records.
- To exit the authority record without saving it to the local database, choose Close.
- Choose Save to create the authority record in the local database.
- Indicate the type of authority record you want to save by selecting one of the following options and then choosing OK:
- Author
- Subject
- Title
- Choose Close.
Overlaying an Existing Authority Record
You can use the INN-View Authority file to replace authority records in the local database. To overlay an existing authority record:
- In the Editor, choose INN-View.
- Enter the HEADING and choose Search.
The INN-View progress dialog box indicates the number of records being retrieved. When the INN-View browse list appears, the status bar indicates the total number of headings and entries retrieved.
- Highlight the appropriate heading in the browse list and choose Select. The authority record appears in the Editor.
- Choose Overlay.
- In the Browse search screen, select the Index and search term, and choose Search. For more information on searching, see Retrieving Records.
- Select the appropriate authority record and choose Select. You can choose only an authority record to overlay with the new authority record. The selected record appears for editing.
- To overlay the displayed record with the authority record found in INN-View, choose Use Authority Record.
- In the new authority record, choose Save and Close.
