Notices: E-mail notice information

If your library has acquired the Sending Circulation Notices via E-Mail product, you can use the Notices: E-mail notice information circulation option to specify the email parameters for circulation notices sent via email to patrons. The system can send circulation notices via email to patrons with valid email addresses in their patron records.

Note that if your library has acquired the Interlibrary Loan product, the Notices: E-mail notice information settings also apply to ILL circulation notices (e.g., overdue ILL items, hold pickup for ILL items).

The Notices: E-mail notice information screen resembles the following:

Notices: E-mail notice information

1 > e-mail FROM address.......................returns@library.org
2 > e-mail REPLY TO field.......................circdesk@west.org
3 > e-mail SUBJECT line....West Public Library Circulation Notice

R > RETURN to Circulation menu
 Choose one (1-5,R)

Specify the parameters for each field as follows:

Email Information Field Required? Description
1 > e-mail FROM address Required The "From" address in the header of an email. This is also the address to which all returned ("bounced") mail will be sent.

Enter a fully qualified email address including the @[domain]. For example, "bounces@not-iii.org" specifies the email account "bounces" on the "not-iii.org" server. The fully qualified email address cannot resolve to the Innovative server that originates the email. Fully qualified email addresses are limited to 201 characters.

If this entry is blank, the ability to send ILL messages via email is disabled.

Innovative Servers Reject Incoming Email

Innovative servers are configured to reject incoming email, including bounced email (that is, undeliverable email that is returned to a sender-designated address).

2 > e-mail REPLY TO field Optional The "Reply To" address in the header of an email. If this entry is blank, emails are sent with a blank Reply To field.

Enter a fully qualified email address including the @[domain]. For example, "bounces@not-iii.org" sends bounced email to the email account "bounces" on the "not-iii.org" server. The fully qualified email address cannot resolve to the Innovative server that originates the email. Fully qualified email addresses are limited to 201 characters.

Innovative Servers Reject Incoming Email

Innovative servers are configured to reject incoming email, including bounced email (that is, undeliverable email that is returned to a sender-designated address).

3 > e-mail SUBJECT line Optional The Subject that appears in the email header. Spaces are allowed in this entry. If this entry is blank, emails are sent with a blank Subject line.
Generating Email Circulation Notices using Circulation

When you use Circulation to generate circulation notices, you can override the subject line specified in the e-mail SUBJECT line field. For more information, see Selecting Notice Parameters.

4 > Tag of PATRON record field containing the e-mail address Required The field tag of the field in the patron record that stores the email address for the patron. This field should always be set to "z".
5 > e-mail CC address Optional If this entry contains a valid email address, the system sends a duplicate copy of the message to this address. Note that you should enter only one address in the email CC address field; the system does not recognize multiple email addresses in this field.
NOTE

If your library's Branch Addresses table contains email addresses in the E-Mail Source and/or E-mail Reply-To elements, those email addresses override the e-mail FROM address and e-mail REPLY TO field, respectively, in the Notices: E-mail notice information circulation option.
