Claim Cycle Values Table

To edit the Claim Cycles Values file, you must be assigned permission 661 (Edit Claim Cycle Values). If you are assigned permission 651 (View System Parameters) but not 661, you can view this file but cannot edit it. See Permissions Used by Sierra for more information.

The Claim Cycles Values table allows you to create and maintain claim cycles and their associated claim times. When you create a claim cycle, you can assign the code letter and define the number of days for the six regular claim levels and one rush claim. The default claim cycle is the first claim cycle in this table. The system applies this default to any vendor whose record does not contain a valid claim cycle code, as well as to vendors coded "none" whose names and addresses are entered directly in the order record.

After setting up the claim cycles, you can enter the claim cycle code in the CLAIMCYCLE field in the vendor record. When you place an order using that vendor, the claim cycle code in the vendor record tells the system when that vendor's orders are overdue and need to be claimed.

The system uses the rush claim for an order if there is an 'r' in the ORD NOTE field of the order record. Note that a value of 'f' (for RUSH-CONF) in the ORD NOTE field does not use the rush claim cycle. You can also use the ORD NOTE field to delay claiming periods by specified times. See the ORD NOTE description for the delay periods.

Functionality Information

Deleting Claim Cycles
If you delete a claim cycle from this table, make sure to delete the code from all vendor records containing it.
Defining Values for RUSH and CLAIM 1-6 Fields
Do not set the RUSH or CLAIM 1-6 fields to zero. By doing so, the order comes up for claim every day after the prior claim cycle has been reached. For example, if you set CLAIM 5 to 90 days and CLAIM 6 to 0 days, the order is selected for claiming every day after 90 days. To prevent this, place a higher numeric value in the next claim field(s).

Data Elements

Entries in the Claim Cycle Values table contain the following data elements:

Element Description
Code A one-character code entered in the CLAIM CYCLE field of a vendor record. This code must be unique from the other entries; however, the system does not prevent you from entering duplicate codes.
Rush The number of days from the order date to send a Rush Claim; a maximum of five digits.
Claim 1-6 The number of days from the order date to send each of the claims.
