Variable-length Fields in Holdings/Checkin Records

The following table describes the variable-length fields found in holdings/checkin records. Both the short label and default long label (if one exists) are shown.

CALL #
or Call No.
Call number. The item's call number. The call number in the holdings/checkin or item record is used preferentially in most system functions such as printing or displaying. CAPTIONS Captions. If your system is set up for MARC holdings/checkin records, the CAPTIONS field defines captions/patterns for up to six levels of enumeration and three levels of chronology. The CAPTIONS field must be a MARC 853 (basic bibliographic material), 854 (supplementary material), or 855 (indexes) field with field group tag y. CHECK-IN The checkin card in non-MARC (character-based) format. The one-line display in the holdings/checkin record indicates the card's status, number of boxes, and frequency (days between issues); if the number to the left of the field is entered, the card displays. 3 system Maximum 120 boxes per checkin card. Summary (bound) holdings statement. This field can be edited manually or it can be automatically updated as bound volumes are checked in as they return from the bindery.

MARC fields 863-868 should be associated with field group tag 'h' so that holdings information stored in these fields is displayed in the LIB HAS statement. See also the LIB HAS field in the bibliographic record.

LOCATIONS Appears if fixed-length field LOCATION is MULTI. If multiple copies are being sent to multiple branches or locations, and the fixed-length field LOCATION is therefore "MULTI", the variable-length LOCATIONS field is created and displays the locations and number of copies (if it is more than one). This field cannot be edited; it can be changed by editing the fixed-length field LOCATION. VEN ADDR
or Vendor Address
This field, if it exists, always prints on the serial claim as the vendor's address. It is required if the code in the VENDOR field is "NONE". However, it also overrides the ADDRESS1 variable-length field in the vendor record when the code in the VENDOR field is something other than "NONE". (ADDRESS1 in the vendor record is the address associated with the VENDOR code when you create a vendor record.) Use VEN ADDR when either:
  • you want to associate a VENDOR code with an order but send the serial claim to an address other than ADDRESS1
  • the VENDOR code is "NONE"


The field must be formatted so that the address fits on the serial claim forms: 4 or 5 lines of up to 28 characters each, with line breaks represented by a '$' and no space.
