Resolving Room Conflicts
If your library has enabled the feature to detect room conflicts, Program Registration prevents you from saving a section record if any of the sessions (the meeting date[s] and time[s] of the section) conflict with a session from a different section record. You must resolve any room conflicts before you can save the section record.
To resolve a room conflict, you can change either the time or location for the session(s) that have a conflict. To help in this process, you can view the Room Calendar to find times when a specific room is available. To access this calendar, choose Room Cal on the toolbar from either the Record or Sessions tab.
If you cannot resolve the room conflict using an alternate time or location for your sessions, you can use a room location that is exempt from conflict detection. For more information, see the section below, "Using Exempt Room Locations".
Using Exempt Room Locations
If you cannot find a location that is available for your session(s), you can choose a location that is exempt from conflict detection. You can use either a location that your library has pre-defined as exempt or a location value of "NONE". See below for the differences between these two options.
Exempt Locations List
Your library can set up a list of locations that are exempt from room conflict detection when used for scheduling sessions. These exempt locations are useful for programs that take place throughout your library (as opposed to one physical location) or programs that occur simultaneously in the same room (for example, an art exhibit in the lobby where there is already a library tour meeting, or a crossword contest throughout the branch where patrons can pick up a form at any desk).
Contact Innovative to create or modify the list of exempt locations.
Location "NONE"
You can temporarily save a section record that has a conflict by choosing "NONE" for the location. Innovative recommends returning to the section record and changing this value to a valid location once you have found a free room location for your sessions. Otherwise, these sections do not appear in the scoped views of the program calendar.
Do not choose "NONE" if your library uses location-based scoping and you are using a scoped login. If you choose this location, you will not be able to access the section record again, because a location value of "NONE" is outside of all scopes.
