Scanning Image Files

Follow these steps to scan image files into a media set.

Scanning Time

The amount of time necessary to scan a media file is in proportion to the size of the file. Large media files require more time to import than smaller media files. Try to import large media files when you have sufficient time to complete the task.

  1. Retrieve a bibliographic record.
  2. Choose Go | Media.
  3. Add a new media set.
  4. Choose the Scan button located at the bottom of the Display panel.
  5. From the drop-down list in the Choose a File Format dialog, select the file type the image will be saved in. Choose OK.
  6. In the Scanner Settings dialog, to preview your file before choosing settings, choose Prescan. Your image appears in the preview panel. To scan the image as it appears in the preview panel, choose Scan. To change the settings for your media file, see the next step.
  7. In the Scanner Settings dialog, choose your scanner settings. You can choose these settings before scanning or after prescanning a media file. The following settings are available:

Note that the 1-bit B&W scan type is not available for JPEG files.


Select the Use Automatic Document Feeder check box if you want to use your scanner's automatic document feeder to create multiple images. You must save the images in the PNG, BMP, TIFF, or JPEG format. Note that your scanner settings must support ADF to use this option.

Order of Images

The order of images in a media set determines the browse order for those images on the WebPAC. This is especially important to remember when scanning in pages of a document, so that patrons can view a document in sequence.

  1. Choose Scan to begin scanning the image, or choose Cancel to halt the process and return to the Display panel.
    (Optional) If you want to use the more advanced settings provided by your scanner's software, choose the Advanced button and follow the scanning process specified by your scanner.
  2. When your image is scanned, Media Management displays the image in a Preview window. Choose OK to accept the image.
  3. Choose the Save button from the toolbar to save the bibliographic record with your changes.

Scanning Documents

If you have only a hard copy version of a document and are unable to import a DOC, PDF, or other version of the document, you can use Media Management to scan in the individual pages of the document. As noted above, it is important to scan the pages in the order you want the patron to view them on the WebPAC. Also, documents scanned in as images do not function as text files for Document Indexing. To enable patrons to find the document in a search, you should create a text file of keywords from the document and attach it to the media set.
