Creating a Metadata Record in MetaData Builder

You can create a metadata record by entering the metadata, field-by-field, in the XML editor or by importing an existing XML document. MetaData Builder can create a metadata record in the Dublin Core or Encoded Archival Description (EAD) XML schema. Currently, the system accommodates one XML template per schema per server per database.

Creating EAD MetaData

EAD is a complex, hierarchical schema with highly nested elements. Consequently, it is generally best to create EAD metadata documents using a third-party XML editor, and then import the file into MetaData Builder.

To create a metadata record:

  1. Choose Catalog from the Function list.
  2. Choose New on the toolbar to create a new bibliographic record.
  3. Select a template for the new record.
If your library has... then...
more than one record template, and
the setting Prompt for template is selected in the Admin | Settings | New Records tab,
select a record template from the Select Template list.
only one record template, or
a template is selected in the Admin | Settings | New Records tab, or
a template was selected previously in the session while creating records of this type,
Cataloging automatically uses that template.

Preferred Templates

You can create a customized list of preferred templates in Admin | Settings | Templates. If you use this setting, the system offers only your specified templates in the list that appears when you create a new record.

  1. Enter the appropriate information in the fixed-length fields, and then choose Go | MetaData. The MetaData Builder window opens.
Variable-length Fields

MetaData Builder maps information from the metadata to the variable-length fields of the base bibliographic record, ensuring synchronization of the data. The system overwrites any variable-length field entries you make in the template.

  1. Choose the New button, which appears just below the standard toolbar. If your library supports both Dublin Core and EAD, the Choose Type dialog box opens.
  2. Choose the appropriate XML schema from the drop-down list, and then click OK. The MetaData Builder window presents the corresponding layout.
  3. Choose the Edit tab and enter data in the labelled text boxes or choose the Source tab and edit the XML directly.
