Creating and Viewing Substitution Phrases
You can view permanent and temporary substitution phrases for variable-length fields, and you can create temporary substitution phrases during a record editing session. A permanent substitution phrase is defined and saved for use in any subsequent session. A temporary substitution phrase is defined and used for the current session only.
Viewing Substitution Phrases
To view the existing substitution phrases while editing a record:
- Right-click a variable-length field, and then choose Substitution phrases from the pop-up menu. The Substitution Phrases dialog box opens.
- Choose one of the following radio buttons to view the substitution phrases for the record type you are editing:
Permanent | Displays permanent substitution phrases |
Temporary | Displays temporary substitution phrases, usually in a different color |
Both | Displays both permanent and temporary substitution phrases |
- Choose Quit to return to record editing or select one of the phrases and choose Use to insert the phrase into the record.
Creating Temporary Substitution Phrases
You can create a maximum of 20 temporary substitution phrases in a session. The temporary phrases automatically are numbered, "%0", "%1", and so on. To create temporary substitution phrases:
- Right-click a variable-length field in the record you are editing, and then select Substitution phrases from the pop-up menu.
- In the Substitution Phrases dialog box, select either the Temporary or the Both radio button.
- Choose the Add button. A new line is added.
- Enter the value of the new temporary substitution phrase.
- Choose Quit to return to record editing or Use to insert the selected phrase into the record.
Creating Permanent Substitution Phrases
You can create a maximum of 150 permanent substitution phrases. To add or delete a permanent substitution phrase, use the Substitution Phrases option found in Admin Corner of the Administration Application.
To see changes to your permanent substitution phrases, you must restart the Sierra client.
