Organization Records

To link a patron record to an organization record, you must be assigned permission 688 (Edit Organization Records). See Permissions Used by Sierra for more information.

If your library has acquired the Organization Record product, you can create patron records that represent businesses or institutions instead of individual patrons. You can then link multiple patron records to a single organization record for billing purposes.

Setting Up Organization Records

When you are ready to start using Organization Records, contact Innovative. You will need to specify the value or values from the Patron Types table that represent organization records. Do not assign these P TYPE number(s) to any other patron records. If your library is using only one P TYPE number to identify organization records, label that P TYPE value "organization record." If your library is using more than one P TYPE number to identify organization records, label the P TYPE value with the name of the organization that the number will be used to identify.

Creating Organization Records

To create a new organization record:

  1. Create a patron record.
  2. Enter the organization's name in the NAME field of the patron record. Enter the organization's billing address in the ADDRESS field.
  3. Enter a BARCODE field in the patron record.
  4. Assign the record a P TYPE number that identifies it as an organization record.

Linking Patrons to Organizations

To link a patron record to an organization record:

  1. Retrieve the patron record and choose Edit.
  2. Insert a field in the patron record. From the drop-down list of fields, choose ORG ID. Enter the barcode from the organization record.
