How Deposit Collections Checkouts Alter Item Records

While you are in the process of checking out an item from the Deposit Collection Library to a member library, the system creates a new and temporary item record for the item and temporarily alters the original Deposit Collection item record.

The Temporary Item Record

When creating the temporary item record during the Deposit Collection checkout process, the system does the following:

Field How Populated
I TYPE Value is changed to the corresponding member library I TYPE as specified in the Deposit Collection Map table
LOCATION Value is taken from the HOME LIBR field in the member library's patron record
Field Set to:
COPY # 1
STATUS '-' (AVAILABLE)
IMESSAGE <space>
AGENCY The value in the PAT AGENCY field in the member library's patron record (if any)
Field Tag
BARCODE
b
CALL #
c
VOLUME
v

Note that the temporary item record retains the item's unmodified barcode. For more information, see The Original Deposit Collection Item Record, below.

The Original Deposit Collection Item Record

While you are in the process of checking out an item from the Deposit Collection Library to a member library, the system alters the Deposit Collection item record (the original and permanent item record). This alteration is temporary and endures only as long as the item is checked out to a member library. When the item is returned to the Deposit Collection Library using Return to Deposit Collection functionality, the original Deposit Collection item record is restored.

When altering the Deposit Collection item record during the Deposit Collection checkout process, the system adds the temporary item record number (created during temporary item record creation) and the abbreviation dbl in front of the original Deposit Collection item barcode. The altered BARCODE field in the original Deposit Collection item record appears as:

<temporary item record number>dbl<barcode>

For example: bi1208193dblA40601160855.
