Changing the Estimated Price for Serials

To change the EPRICE, you must be assigned permission 85 (Fund file maintenance). See Permissions Used by Sierra for more information.

Using the Change Eprice function, you can re-encumber serial prices based on historical increases or decreases in amounts paid. The system calculates the percentage change in payment between two time periods to determine the projected estimated price (EPRICE). You can then update the EPRICE field in order records based on these calculations. When you update the EPRICE fields, the encumbrance in the Lien file is also updated and the order record status changes from 'd' (serial paid) or 'f' (serial no encumbering, but can make payments) to 'c' (serial on order; encumbered new serial).

To apply projected EPRICES to order records:

  1. Create a review file of order records with STATUS of 'd' or 'f'. For more information on creating review files, see Creating a New Review File.
  2. Choose Change Eprice from the Function drop-down list.
  3. Select from the Review file drop-down menu the file you created with order records having STATUS of 'd' or 'f'.
  4. Depending upon the date from the order record you want to use for the EPRICE projection, choose Use Paid Date or Use Invoice Date.
  5. To include orders in the review file with a STATUS of 'f' in the calculation, check Process Orders with status 'f'. Otherwise, leave the checkbox unmarked to base the calculations on order records with a STATUS of 'd' only.
  6. Time Period 1 and Time Period 2 refer to the two periods of time which the EPRICE comparison will be based upon. Enter the start and end dates to use in Include invoices dated beginning on: and and ending on:, respectively.
  7. Choose the Start button. After the calculations are complete, the table on the Preview Estimated Price Projection tab will be populated with information regarding Record #, Paid Date, Voucher, Amt, Copies, Total, Price/Copy (price per copy), % Change (of EPRICE), and New Eprice.
  8. Select the Preview Projections by Fund tab to view tabulated information on Fund, Record #, Eprice, Copies, Encumbrance, and Total.
  9. If certain order records were not included in the change EPRICE calculations, check the Errors tab for error messages.

You can edit the order record by double clicking an entry listed under the Record # column in any tab.

  1. To update the EPRICE fields of the given order records based on the calculations, choose Process on the Preview Estimated Price Projection tab.

By updating the EPRICE, the encumbrance in the Lien file is also updated and the status of the order records is changed to 'c'.
