Using Inventory Functionality with Mobile Worklists

To update the inventory date in item records using Mobile Worklists, you must be assigned permission 251 (Circa Inventory Control). See Permissions Used by Sierra for more information.

You must have Sierra 5.2 or later to use the inventory functionality in Mobile Worklists.

Mobile Worklists supports libraries that want to inventory all or part of their collection. Once you have enabled the inventory functionality, you can use one of the following workflows:

Enabling or Disabling the Inventory Functionality in Mobile Worklists

To enable the inventory functionality in Mobile Worklists:

  1. On the Home screen, tap Settings.
  2. Tap Inventory Options.
  3. Tap the Show Inventory slider.
  4. Select one of the following options to control how you want Mobile Worklists to update inventory dates:
    • Update Inventory Date upon barcode scan
    • Don’t Update Inventory Date
    • Ask me each time

The default is Ask me each time. When this option is selected, Mobile Worklists prompts you during the first item scan and asks if you want to change the default and save the setting for the rest of the session. This option resets to the default when you sign out of the application.

To disable the inventory functionality in Mobile Worklists:

  1. On the Home screen, tap Settings.
  2. Tap Inventory Options.
  3. Tap the Show Inventory slider.

The Update Inventory Date option changes to Don't Update Inventory Date. When you check and scan an item, the Update Inventory Date? prompt does not display.

Inventory Control on the Fly

To perform inventory control on-the-fly:

  1. From the Home screen, tap Inventory.
  2. Tap Update Inventory Date.
  3. Enter item barcodes by doing the following:
    • Scan item barcodes.
    • Scan RFID tags by tapping RFID in the upper-right corner. When instructed, hold your device close to the item.
    • Enter barcodes manually by tapping the keyboard icon at the bottom of the screen, typing the item barcode, and tapping Update.

A confirmation message appears to show that each item has been updated. The inventory date in the item record is updated with the current date and time.

  1. To exit the Update Inventory Date screen, tap Done in the bottom, left corner.

Inventory Control using Shelf Lists

Shelf lists are stored on your device only under your login. You cannot access shelf lists you created using a different device. Likewise, if you are sharing a single device with a colleague, they cannot access shelf lists you have created on that device.

The process of inventory control using shelf lists includes the following steps:

  1. Creating a new shelf list
  2. Verifying items

Creating a New Shelf List

To create a new shelf list:

  1. From the Home screen, tap Inventory.
  2. Tap Shelf Lists. Mobile Worklists does one of the following:
    • If you have no existing shelf lists, the Scan First Barcode screen appears. You can skip to the next step.
    • If you have existing shelf list(s), Mobile Worklists displays them. Tap at the bottom of the screen to create a new shelf list.
  3. Scan or manually enter the first item barcode in your shelf list, and tap Setup First Barcode.
  4. Scan or manually enter the last item barcode in your shelf list, and tap Setup Last Barcode.

If either barcode needs to be reentered, you can tap the Re-scan button and reenter the item barcode.

  1. Tap the Get Shelf List button to retrieve the shelf list. The shelf list name defaults to the location name and date.
  2. (Optional) Rename the shelf list, and tap Create List.The new shelf list appears on the Shelf Lists screen followed by "0 verified of [total number of] items".

Verifying Items

After you have created your shelf list, you can verify the items that are found on the shelf in one of two ways. You can tap to verify or scan to verify.

Tap to verify items on the shelf:

  1. Open an existing shelf list.
  2. Swipe left on an item in the shelf list.
  3. Tap Verified to indicate the item is present.
  4. When prompted, tap Yes to update the inventory date, or tap No to leave the inventory date as it is.
  5. When prompted, tap Yes to save the inventory date setting, or tap No to leave the inventory date setting as it is.

    Mobile Worklists confirms the item is verified, places a check mark beside the item in the list, and advances the count of verified items.

    If you mistakenly verify an item, swipe left on the item, and tap Non-verified. The check mark beside the item in the list disappears, and the count of verified items is reduced.

Scan to verify items on the shelf:

  1. From the Shelf Lists view, swipe left on the shelf list you want to work on, and tap Verify.
  2. Enter item barcodes by doing the following:
    • Scan item barcodes.
    • Enter barcodes manually by tapping the keyboard icon at the bottom of the screen, typing the item barcode, and tapping Update.
    • Scan the RFID tag by tapping RFID in the upper, right corner. When instructed to do so, hold your device close to the item.

When you enter the barcode, the system displays a confirmation message and places a check mark on the shelf list. The number of items verified appears on the Shelf Lists display under the shelf list name and at the top of the shelf list item view. Shelf Lists can be filtered to show all items, verified items only, or nonverified items only.

  1. When prompted, tap Yes to update the inventory date, or tap No to leave the inventory date as it is.

If you try to verify an item that does not belong on that shelf list, Mobile Worklists displays the message "This item is not in the shelflist" and offers the following options:

  • Move the item to another list
  • Check in the item
  • Do nothing

Moving Shelf List Items to a Work List

After you have created your shelf list, you can move one item or multiple items to a work list.

To move one shelf list item to a work list:

  1. From the Shelf Lists view, swipe left on the item you want to work on, and tap .
  2. When prompted, select an existing work list or create a new work list.
  3. Tap the Move button to remove the item from the shelf list and add it to the work list.

To move multiple shelf list items to a work list:

  1. From the Shelf Lists view, tap Edit.
  2. Tap to select multiple items, and tap .
  3. When prompted, select an existing work list, or create a new work list.

    Mobile Worklists confirms the move, removes the items from the shelf list, and adds them to the work list.

  4. Tap Done.
