Patron History Reports

Patron history reports show transactions involving a specific patron during a specified time period , such as the financial transactions, hold requests, and check outs. For general information on history reports, see Create a history report.

To protect patron privacy, SimplyReports has the following safeguards: the transaction results are limited to a period of no more than 95 days; the report parameters cannot be saved; and the ad-hoc report files are not written to the disc on the servers. In addition, access to these subtabs can be limited through permissions.

Note:
The Patron history reports subtab is not available if your administrator has disabled history reports or you do not have permission to access the subtab.

To create a patron history report

  1. Select the Patrons tab, and select the Patron history reports subtab.

  2. Enter the patron’s barcode in the Patron Barcode box.
  3. Specify a time span of no more than 95 days by selecting dates using the calendar icon in the Start date and End date boxes.

Note:
If you select dates that span more than 95 days, an error message appears when you click Show history.

  1. Select Quick pick and select a library, or select the branch or branches in the Limit branches box.
  2. To limit the types of transactions that appear in the report, select Limit transactions and select the type of transactions to include in the report.
  3. Click the Show history button to display the report results.

Tip:
To sort the report, click on a column heading.

The window expands and the top portion of the expanded section displays the patron’s information. The bottom of the expanded section displays information on the transactions.

  1. To export the report, click one of the following buttons:
    • - Saves the report in Microsoft Excel format
    • - Saves the report in Microsoft Word format

Note:
History reports include data in columns only if the transaction involved that data field. For example, if the transaction involves money, a dollar amount appears in the Amount column on the report. However, if the transaction did not involve money, the Amount column is blank for that transaction.
