Check In a Damaged Item

You can check in a damaged item from the Check In workform if the item's circulation status is Out or In and you have the following permission settings in Polaris Administration (staff client):

Note:
You can also declare an item damaged from the patron record. For more information, see Declare an Item Damaged.

To check in a damaged item

  1. Select CHECK IN.

    The Check In workform appears.

  2. Select the Damaged view.

  3. Do one of the following:

    • Scan the barcode of the item you want to check in.

    • Select FIND TOOL to search for and select the item you want to check in.

  4. Select Enter .

    The Declare Item Damaged dialog appears.

  5. Select one of the following options:

    • Declare damaged: charge and notify - When you select this option, Leap does the following:

      • Checks the item in.

      • Sets the item's circulation status to Damaged.

      • If applicable, charges replacement and processing fees to the patron's account.

        Note:
        If the item's status is In, Leap charges replacement and processing fees to the account of the patron who last borrowed the item.

      • Sends a bill notice to notify the patron of the charges.

      • Assigns a system-generated block ("Item is Damaged") to the item record.

    • Declare damaged: update item only - When you select this option, Leap does the following:

      • Checks the item in.

      • Sets the item's circulation status to Damaged.

      • Assigns a system-generated block ("Item is Damaged") to the item record.

  6. To add a note that appears in the item record and on the bill notice, enter text in the Special item check-in note box.

  7. Select OK.

    Leap processes the check-in according to the option you selected.
