Export From a Record Set to Excel

You can export a list of records in Excel format from a record set. When you export from a record set, the columns in the Excel file include the same columns as in the record set, with additional columns for SortTitle (in files exported from bibliographic and item record sets) and SortAuthor (in files exported from bibliographic record sets).

For cataloging record sets and patron record sets, you can only export record sets owned at the System, Library, or Branch level. Record sets owned by individuals cannot be exported.

Note: To work with record sets in Leap, you need the appropriate permissions for each type of record set. Contact your Polaris System Administrator to request access, create, modify, export, and delete permissions, depending on what you need to do with cataloging and patron record sets.

To export to an Excel file from a record set:

  1. Open the record set.

The record set appears in the appropriate record set workform.

  1. In the workform header, select ACTIONS > Export.

The Export dialog box appears with the Excel File Name displayed.

  1. (Optional) To change the Excel file name, type a new name or edit the existing name.
  2. Select EXPORT.

Note:
If the number of rows exceeds the Excel limit, the following message appears: Record set is too large to export, Exceeds Excel's maximum of approximately 1,000,000 records.

A message indicates the file is being created. Then the Excel file appears.
