Update inventory date from check-in workflow

In Sierra 6.5 and above, you can setup inventory date to update from the check-in workflow with the Inventory Check-in Periods functionality.

When checking in items, Sierra checks if the date is within the previously configured inventory check-in period and if it does, it updates the Inventory Date on that item record accordingly. For example, if your inventory check-in period is from the 1st to the 30th of September, checking in an item on the 16th of September also updates the Inventory Date.

A new permission is added to Sierra to allow authorized users to edit the check-in periods:

Managing Inventory Check-in periods

Inventory Check-in periods

To view circulation parameters, you must be assigned permission 373 (View Circulation Parameters). To edit the Inventory Check-in periods, you must be assigned permission 678 (Edit Inventory Check-in Periods).

Inventory Check-in periods allow for an automated Inventory Date update for items when checking them in, if the check-in date is within the configured period.

Adding Inventory Check-in periods

To add a new inventory check-in period:

  1. Select Admin | Parameters | Circulation | Inventory Check-in Periods (9).

    The Inventory Check-in Periods table appears.

  2. Select Add.

    The Add Inventory Check-in Period dialog box appears.

  3. Enter the required information.

    The available fields are:

    • Location - Enter the location of the branch of your library for which you are setting up the inventory check-in date.

    • Start - Enter the start date for the inventory check-in period.

    • End - Enter the end date for the inventory check-in period.

      When setting up your period dates, note that there are five options possible:

      • You can set a Start date and leave the End date field unpopulated, which results in the period starting on the Start date and lasting indefinitely.

      • You can set both the Start and the End date, constricting the period to last between those two dates.

      • You can leave both fields unpopulated, which results in an indefinite period.

      • You set an End date and leave the Start date unpopulated, which results in a period that is on until the set End date.

      • You can omit a branch by not adding it to the list, which results in Inventory Date not being automatically updated for that branch at all.

  4. Click OK.

    The new period is added to the table.

  5. Click Save.

    The new period is saved within the table and is in effect for the selected location.

Editing Inventory Check-in periods

To edit an existing inventory check-in period:

  1. Select Admin | Parameters | Circulation | Inventory Check-in Periods (9).

    The Inventory Check-in Periods table appears.

  2. Select a period you want to edit and select Edit.

    The Edit Inventory Check-in Period dialog box appears.

  3. Edit the desired information.

    The available fields are:

    • Start - Enter the start date for the inventory check-in period.

    • End - Enter the end date for the inventory check-in period.

      If the Start and End fields are left empty the inventory check-in period is assumed to last continuously (i.e. throughout the whole year).
  4. Click OK.

    The edited period is added to the table.

  5. Click Save.

    The edited period is saved within the table and is in effect for the selected location.

Deleting Inventory Check-in Periods

To delete an existing inventory check-in period from the inventory check-in table:

  1. Select Admin | Parameters | Circulation | Inventory Check-in Periods (9).

    The Inventory Check-in Periods table appears.

  2. Select a period you want to edit and select Delete.

    The Delete Inventory Check-in Period dialog box appears.

  3. Select Yes to confirm the deletion.

    The period is deleted from the table.

  4. Click Save.

    The table is saved with the period deleted.
