Copying and Clearing Funds in Fiscal Close (Method 3)

Copy and Clear Funds is the fourth step in Method 3 of Fiscal Close.

  1. Make sure you are in the Fiscal Close function and that the Copy and Clear Funds tab is selected.
  2. Select the option to Archive "Current Funds" amounts to "Old Funds", and "Hierarchies" to "Old Hierarchies".
    Avoid Overwriting the Archive With Cleared Funds

    If you repeat this step, clear the check box for the Archive "Current Funds" amounts to "Old Funds", and "Hierarchies" to "Old Hierarchies" option. Copying and clearing funds more than once with the option selected overwrites archived fund values with cleared fund values ('0').

  3. To reset the number of orders year-to-date to zero for the coming fiscal period, select # Orders Year-to-Date for all funds.
  4. To reset the number of payments year-to-date to zero for the coming fiscal period, select # Payments Year-to-Date for all funds.
  5. Select the check boxes for Appropriations, Expenditures, and Encumbrances to reset the fund data to zero for all funds. Note that the amounts in the respective table columns display 0.00.
  6. Choose Process to copy and then clear fund data. The amounts, as indicated, will be reset to zero (0.00).
  7. Go to the next step as indicated in the summary of Fiscal Closing Method 3.
